Overview
For practices with multiple locations, patients select a booking location during checkout so revenue credits the location where they plan to receive services. This reduces accounting friction, improves reporting accuracy, and gives patients transparency at purchase time.
This article is for practice owners, managers, and front-desk staff at multi-location practices. No additional setup is required beyond having two or more locations configured.
Before You Start
Location selection at checkout is automatically enabled when your practice has two or more locations.
Patients browse the catalog for their homebase location by default. They can change the booking location during checkout.
Discounts and cart items must be available at the selected booking location or the patient is prompted to update their cart.
Once checkout completes, the selected booking location cannot be changed — but services can still be redeemed at any location.
Why It Matters
Multi-location practices often struggle when a patient purchases at one location but redeems at another. Location selection at checkout helps you:
Credit revenue to the right location at purchase time, reducing manual reconciliation.
Give patients control over where they plan to receive services.
Catch catalog mismatches early when items or discounts are not offered at the selected location.
Track cross-location redemption through the Service Reconciliation Report when purchase and redemption locations differ.
How It Works
Default location: The patient’s homebase is pre-selected in the Booking Location section at checkout.
Changing location: Patients can select a different location where they plan to receive services before completing checkout.
Cart validation: If items or discounts in the cart are not available at the selected location, the app prompts the patient to update their cart.
After purchase: The booking location is locked once the order is placed. Redemption remains flexible — patients can redeem services at any location, even if it differs from the booking location selected at checkout.
Discount availability: Discounts apply only when they are configured for the selected booking location.
Staff redemption: When staff redeem on behalf of a patient in the Admin Panel, they choose the redemption location from a dropdown on the patient’s profile.
Service Reconciliation Report: When a service is purchased at one location but redeemed at another, the mismatch appears in the Service Reconciliation Report in the Admin Panel.

Best Practices and Pro Tips
Train staff to ask where patients plan to redeem before they checkout — this helps patients pick the right booking location.
Verify booking location matches patient intent for location-specific services.
Remember discounts are location-scoped — a discount unavailable at the selected location will not apply at checkout.
Use the Service Reconciliation Report monthly to monitor mismatches and adjust front-desk workflows.
Explain redemption flexibility — booking location locks revenue attribution at purchase, but redemption can happen at any location.
Common Mistakes and FAQs
Q: What happens if a patient selects the wrong booking location?
A: Once the order is placed, the booking location cannot be changed. The patient can still redeem the service at any location.
Q: Why do certain discounts not apply at checkout?
A: Discounts are tied to the selected booking location. If that location does not offer the discount, it will not apply.
Q: Can patients browse services at other locations before checkout?
A: Patients shop the catalog for their homebase by default. They can change the booking location during checkout, which may affect item and discount availability.
Q: Does booking location restrict where services can be redeemed?
A: No. Patients can redeem at any location even if it differs from the booking location selected at checkout.
Q: Do we need to enable this feature manually?
A: No. It is automatically enabled when you have two or more locations.
