How to build a Promotion (Admin Panel)

Learn what the Promotions page is, how Promotions work, and how to plan, build, and manage them across your RepeatMD app from one place.

Overview

The Promotions page is your central workspace for managing all promotional activity in RepeatMD. Promotions, Offers, and Text Messages are all created, scheduled, and tracked from this single page, replacing the previous Special Offers, Text Messaging, and Sitewide Promotions pages.

This article is for practice owners, managers, and admins who want to understand how the Promotions page is organized, what a Campaign is, and how to build and manage promotions effectively.


Why It Matters

Managing promotions across separate tools makes it easy to lose track of what is live, what is scheduled, and what has expired. The Promotions page brings everything together so your team can plan promotions on a calendar, build multi-component promotions in one workflow, and see the full picture of your promotional activity at a glance.

Every practice runs more than one kind of promotion, and they don't all need the same tools. A weekend Botox sale, your practice's anniversary event, and the launch of a new device all deserve to be seen — but they succeed differently:

  • A special offer (say, 20% off Microneedling this weekend) lives or dies on the discount being easy to find and easy to redeem. That's a straightforward Offer, maybe paired with a launch-day text.

  • An anniversary or in-office event isn't about a discount at all — it's about getting patients to show up. That calls for a Discover Card and a pop-up that drive RSVPs, with texts reminding patients as the date approaches.

  • A new device or service launch needs patients to understand something before they buy it. That's a Discover Card with real explanation, maybe a featured Shop category so the new service has a dedicated home, and an early-bird Offer to reward the first patients who try it.


What Is the Promotions Page?

The Promotions page is organized into three tabs:

  • Promotions — every Promotion you've built, filterable by status: Draft, Scheduled, Active, Expired, or Archived.

  • Offers — every Offer, whether it's part of a Promotion or was created on its own. Offers not attached to a Promotion show no linked Promotion in the list.

  • Texts — every scheduled or sent text message, whether standalone or attached to a Promotion.

A marketing calendar sits below the table, showing everything scheduled across all three types so you always know what’s running and when.


What Is a Promotion?

A Promotion is a container for a sale, event, or limited-time offer. It groups your Offer, text messages, and in-app visibility assets together under one set of dates and locations, instead of managing each piece separately. Multiple promotions can also run at the same time.

A Promotion can include any combination of:

  • Offers — discounts patients redeem in the app or in your office. A Promotion can include multiple Offers, all sharing one Promotion Promo Code.

  • Texts — scheduled SMS to promote the Promotion. Messages are capped at 200 characters and can only send between 8 AM and 9 PM local time.

  • Discover Card — a promotional card on your app's Discover page showing the Promotion's image, headline, description, and a call-to-action button.

  • Pop-Up — a message shown when patients open the app.

  • Banner — a highlight strip at the top of the app while patients browse.

  • Custom Category — a featured section in your Shop surfacing the services or products included in the Promotion.

You do not need every component for every Campaign. A simple sale might be an Offer plus a text. A bigger event might use all of the above.


Step-by-Step Instructions

Create a Campaign

  1. In your Admin Panel, go to MedCommerce Engine™ → Promotions.

  2. Click New promotion.

  3. Fill in the Promotion Overview: Promotion Name, the Promotion Window (start and end date), and Participating Locations.

  4. (Optional) Choose a Promotion Goal. Picking a goal pre-adds the components typically used for that kind of promotion — you can still add or remove any of them afterward, and choosing a different goal swaps the set (any component you've already started editing stays put). The five goals:

Skip this step to build a Promotion manually, component by component.

  1. Add or finish the components you need — Offers, Texts, Discover Card, Pop-Up, Banner, Custom Category — from the block picker. Each component previews live as you build it.

  2. If you're including Offers, add a Promotion Promo Code.

  3. Click Schedule to publish, or Save as Draft to finish later.


Manage existing Campaigns

  • Edit a Promotion from the Promotions tab and save your changes.

  • Archive to end a Promotion early.

  • Republish an archived Promotion — this reopens it in edit mode so you can review dates, Offers, and scheduled texts before saving.

  • Delete a draft — from the Promotions tab, drafts can be removed individually or in bulk. This is a permanent delete: the draft and everything built inside it (offers, promo codes, texts, pop-ups, banners) is gone for good, with no undo.


Best Practices and Pro Tips

  • Plan on the calendar first. Check for overlapping Promotions before scheduling a new one — since multiple can run at once, it's easy to accidentally stack two banners or pop-ups on the same patients.

  • Match the components to the goal, not the other way around. A quiet flash sale doesn't need a banner and a pop-up; a practice anniversary event probably wants both, plus texts.

  • Use one Promotion Promo Code for every Offer in the Promotion, and share it with front desk and treatment room staff before the Promotion goes live.

  • Brief your team before go-live. Staff can view the Promotions page to see what's currently active, even if they can't edit it.


FAQs

Q: What replaced Special Offers, Text Messaging, and Sitewide Promotions?
A: All three are now consolidated into the Promotions page. Special Offers and Text Messages are managed from the Offers and Texts tabs. Sitewide Promotions have been replaced by Campaigns, which support the same broad promotional use case with more flexibility.

Q: What is the difference between a Campaign, an Offer, and a Text Message?
A: A Campaign is a container that groups Offers, texts, and in-app assets together under one set of dates. An Offer is the discount itself. A Text Message is the SMS that promotes the Campaign or offer. Offers and texts can exist inside a Campaign or as standalone items.

Q: I see an old Sitewide Promotion in my Promotions list, but I can't edit it there. Why? A: Sitewide Promotions show up in the Promotions list and calendar for visibility, but they're still managed by the legacy Sitewide Promotions tool. Clicking Edit on one of these will take you to that page instead of the Promotion builder.

Q: Does a Campaign require all six components?
A: No. A Campaign must include at least one component. If the Campaign includes Offers, it must also include a Content Card. All other components are optional.

Q: Can a Campaign include more than one Offer?
A: Yes. You can add multiple Offers to a single Campaign. All Offers share the Campaign Promo Code.

Q: Can I save a Campaign and finish it later?
A: Yes. Click Save as Draft at any point during setup. Once you click Schedule Campaign, the Campaign cannot return to Draft status. It can only be Archived or Republished.

Q: Can a Promotion include more than one Offer?

A: Yes. Every Offer in a Promotion shares the same Promotion Promo Code.

Q: Can multiple Promotions be active at the same time? A: Yes — there's no one-at-a-time limit like the legacy Sitewide Promotions tool has.
