Generate a QR code for your Ageless experience (Admin Panel)

Learn how to create a trackable Ageless link and download a print-ready QR code so patients can scan a sign in your practice and land directly in your Ageless experience.

Overview

A QR code is a trackable link that you can print. In Ageless Marketing, you create the link first and the QR code comes with it.

Practices put Ageless QR codes on front-desk signs, waiting-room posters, mirror clings, and other printed material. When a patient scans, they open the Ageless experience you chose, and the scan is attributed to that sign in Ageless analytics.

This article is for practice owners, managers, marketing users, and admins. It also applies to anyone (for example, a designer) who has been given an Ageless Marketing setup link by the practice.


Before You Start

Your practice must have completed Ageless onboarding. The Ageless Marketing page is only available after onboarding; if it is not finished, you will be redirected to complete setup first.

You need one of the following:

  • An Administrator login to the Admin Panel, or

  • A current Ageless Marketing setup link shared by the practice. The login-free view can also create trackable links and QR codes.

Decide which experience the patient should land in when they scan (see the table under How It Works).

There is no limit on how many QR codes you create, and you can regenerate the same code later without changing where it points.


Why It Matters

Printed signage is one of the highest-intent places a patient encounters your practice — whether they are already in the chair or at a local gym or hair salon you partner with.

Generating QR codes from trackable links helps you:

  • Send patients straight into the right Ageless experience with one scan, no typing.

  • See which sign, room, or location is driving assessments in Ageless analytics.

  • Tag scans to a specific clinic automatically when each location has its own sign.

  • Hand a designer a clean, print-ready PNG without giving them Admin access.


How It Works

Every QR code is generated from a trackable link. That is what lets Ageless analytics attribute each scan to a specific campaign and location.

Choosing the experience. Each card under Your Ageless Links is a different landing experience:

Only the experiences your services catalog supports are shown. If a card shows a warning, use its Go to Services Catalog link and resolve it before printing anything.

In-clinic links. Selecting In Clinic as the source stamps the link as printed, in-practice material and skips the "how are you sharing it" step. If your practice has more than one location, you can tie the link to a specific clinic or leave it as All locations.

Same inputs, same link. Re-running the wizard with the same experience, source, location, and campaign name returns the existing trackable link and an identical QR code. You do not need to keep the PNG somewhere safe; regenerate it whenever you need it.


Step-by-Step Instructions

Create and download a QR code

  1. Log in to your Admin Panel (or open the Ageless Marketing setup link the practice shared with you).

  2. Go to Ageless → Ageless Marketing.

  3. Under Your Ageless Links, find the card for the experience the patient should land in.

  4. Click Make a Trackable Link on that card. The trackable-link wizard opens.

  5. Under Where are you posting this link?, select In Clinic.

  6. If your practice has more than one location, a Which clinic are you using this link in? (optional) picker appears:

    • All locations (default) — one QR code you can reuse on signage at every clinic.

    • A specific clinic — patients who scan are associated with that location automatically. Use this when each clinic gets its own sign.

  7. Single-location practices do not see this picker; the link is tied to that clinic.

  8. Click Continue.

  9. Under Name this campaign, type a short name that describes where the code will live, for example front-desk-sign or hair-salon-poster. Use letters, numbers, hyphens, and underscores only. This name is how the QR code appears in analytics, so make it recognizable.

  10. Click Generate link. The tracked URL appears under Your tracked link.

  11. Click QR Code. The QR code dialog opens with the generated code and the URL it encodes.

  12. Click Download PNG. The file downloads as <experience-name>-qr.png (for example, aesthetics-experience-qr.png) at 512 × 512 px, black on white, ready for print or for handing to a designer.

  13. Click Close on the QR dialog, then Done to close the wizard.

Get the text version of the same link

In the same wizard, after you click Generate link:

  • Copy Link copies the full tracked URL.

  • Short Link copies a shortened version of the same tracked URL.

Use these in emails, texts, or social posts when you want the same attribution as the printed code.


Best Practices and Pro Tips

  • Make a separate trackable link (and QR code) for each sign. A front-desk-sign and a waiting-room-poster should have different campaign names so you can tell them apart in analytics.

  • Use a specific clinic when each location prints its own sign. Use All locations when one design is going up everywhere.

  • Pick the experience that matches the sign's placement. A mirror cling in a treatment room for facial services is a good fit for Aesthetics Experience; a general front-desk sign usually fits Aesthetics + Wellness Experience.

  • Don't worry about losing the PNG. Re-run the wizard with the same inputs and you get the identical code.

  • Share the setup link instead of an Admin login when a designer needs the file. They can generate the QR code themselves from the login-free view.


FAQs

Q: Can I just make a QR code from the Copy Link URL on the card?

A: No. QR codes are only generated from a trackable link, so scans are attributed in Ageless analytics. Always use Make a Trackable Link.

Q: I don't see the QR Code button, or it's grayed out.

A: You need to click Generate link first. The QR Code, Copy Link, and Short Link buttons become available once the tracked URL appears.

Q: I don't see one of the experience cards.

A: Only experiences your services catalog supports are shown. Add the relevant services in the Services Catalog to unlock that card.

Q: The wizard says "Sign in as an administrator, or open a current setup link."

A: The setup link you are using has expired. Ask the practice for a fresh Ageless Marketing setup link, or sign in to the Admin Panel as an administrator.

Q: I re-ran the wizard and got the same link as before. Is something wrong?

A: No. The same experience, source, location, and campaign name always return the same trackable link and QR code. To get a different link, use a different campaign name.

Q: What size and format is the download?

A: A 512 × 512 px PNG, black on white, named <experience-name>-qr.png.

Q: Will the QR code stop working if I generate it again later?

A: No. Regenerating with the same inputs does not change where the link points.

Q: Can I use the same link in an email or text?

A: Yes. Copy Link and Short Link in the same dialog give you the text version of the same tracked link.
