Overview
Move the date a client's membership is next billed, without canceling and re-enrolling them. The change is made from the client's profile in the Admin Panel. Nothing is charged when you make the change — the client's next payment simply moves to the new date.
This article is for practice owners, managers, and front-desk staff who need to line a client's billing up with payday, a visit, or a promised date.
Why It Matters
Give clients a billing day that suits them instead of a reason to cancel.
Fix a billing date that landed at a bad time, such as just before a pay cycle.
Handle the request at the front desk, with no email to RepeatMD Support.
How It Works
📌 The short version — Pick a new date on the client's membership. Their next payment moves to that date, and nothing is charged today.
Which dates you can choose: any date from tomorrow up to one billing period after the current billing date. For a monthly membership, that is up to one month after the current date. The dialog shows the exact range.
Benefits follow the payment. Membership benefits are given when each payment is taken. If you move the date later, the client's next benefits arrive later. If you move it earlier, they may receive their next benefits sooner. The dialog warns you of this before you confirm.
Future billing dates: after the change, later payments continue from the new billing day, on the membership's regular billing cycle.
Who can do this: users with Administrator or Client Membership Manager access.
When it's not available: the dialog explains why instead of letting you pick a date.
Managed outside RepeatMD — for example a membership managed in Zenoti.
Set to cancel — the membership is already scheduled to cancel.
Failed payment — the membership is in dunning. Resolve the payment first.
Frozen — billing is paused.
Plan change scheduled — an upgrade or downgrade is already scheduled. Cancel it first, then change the billing date.
Step-by-Step Instructions
Go to Client Profiles and open the client.
Scroll to MEMBERSHIPS and click the chevron (›) on the membership.
In the Billing date section, click Change billing date.
Check the Current billing date, then choose a New billing date within the range shown.
Read the notice about when the client's next payment and benefits will arrive.
Click Confirm change.
A confirmation shows when the client will next be billed. The new date also appears on the membership.
Best Practices and Pro Tips
Tell the client the new date and that nothing is charged today, so they aren't surprised by a charge on the new day.
Check the client's benefit timing before moving a date earlier or later, since benefits are given with each payment.
To change plans and the billing day together, move the billing date first, then schedule the plan change. A plan change takes effect on the billing date.
FAQs
Is the client charged when I change the date?
No. Nothing is charged today. The next payment is taken on the new date.
Can I pick a date more than one billing period away?
No. The latest date is one billing period after the current billing date. This prevents a typo from pushing a payment and its benefits out by months.
Can I change the billing cycle itself, for example monthly to quarterly?
No. That is locked once a client enrolls. This article only moves the date of the next payment. See Set up flexible membership billing (Admin Panel).
Can clients change their own billing date?
No. Only staff can, from the Admin Panel.
Why is the Change billing date button missing?
You may not have Administrator or Client Membership Manager access, or the membership may be one that can't be changed, such as one managed outside RepeatMD.
