Edit a membership (Admin Panel)

Learn how to safely edit memberships in the Admin Panel, including when to apply changes to existing members versus creating a new version for future enrollments.

Overview

This article explains how to edit an existing membership in the Admin Panel and how to decide which edit option to use. It is written for practice owners and managers who need to make updates confidently, without unintentionally impacting active members.

Under Edit for new & existing members, you can now update the Price, Commitment Period, Included Treatments and rewards, and Locations yourself in the Admin Panel. You do not need to contact RepeatMD for these changes. The Admin Panel recommends giving your members 30 days’ notice before you make them. The membership billing period (billing cadence) is still locked once a patient is enrolled.

Before You Start

  • You must have Marketing, Manager, or Administrator permissions.

  • Membership edits follow two clear paths only:

    • Edit for new & existing members

    • Edit for new members only

  • To change a membership’s price, you need access to every location the membership is offered at. A manager who does not have access to all of those locations cannot change the price. Ask an administrator to make the change.

  • Membership billing period (billing cadence) cannot be changed once a patient is enrolled.

  • The choice to apply changes to new members only or to both new and existing members does not persist for future edits. You must make this selection each time you edit a membership.

Give Members Notice First

Price, commitment period, and included treatments are the terms your members agreed to at enrollment. Changing any of them without proper notice can create compliance, billing, and retention issues.

When you choose Edit for new & existing members, the Admin Panel reminds you that the change updates all current members and recommends giving your clients 30 days’ notice before any changes are made, in line with your Terms and Conditions. RepeatMD does not send a notification to your members for you. Your practice is responsible for notifying them.

How Membership Editing Works

When you edit a membership, RepeatMD asks how you want your changes applied:

  • Edit for new & existing members — Updates the current membership and applies changes immediately to everyone enrolled. You can edit price, commitment period, included treatments and rewards, and locations on this path. The billing period stays locked.

  • Edit for new members only — Creates a new version of the membership for future enrollments. Existing members remain on the original version, with their original price, commitment, and included treatments intact.

Choosing the correct option is critical, especially when changing anything that affects existing member agreements.

Step-by-Step Instructions

Access the Membership Editor

  1. Log in to your Admin Panel.

  2. Go to Catalog → Services and open the Memberships tab.

  3. Find the membership you want to edit.

  4. Click the three-dot menu on the right.

  5. Select Edit.

If the membership has active members, a modal appears prompting you to choose how the edits should apply. It also reminds you to give your clients 30 days’ notice.

Choose the Right Edit Option

Edit for New & Existing Members

Use this option when you want a change to apply immediately to everyone currently enrolled.

What you can edit on this path:

  • Membership name

  • Price

  • Commitment Period

  • Included treatments and rewards

  • Locations

  • Sign-up bonuses

  • Milestone bonuses

  • Beauty Bank settings

  • Rollover settings

  • Visibility and availability

  • Member benefits (non-treatment)

What is locked on this path:

  • Membership billing period (billing cadence)

Additional behavior:

  • Changes apply instantly to all active members.

  • No notification is sent to members automatically by RepeatMD. The Admin Panel recommends giving your clients 30 days’ notice, and your practice is responsible for communicating any changes to your members, in line with your Terms and Conditions.

  • To change the price, you need access to every location the membership is offered at.

  • The billing cadence cannot be changed for the existing enrolled version. To offer a different cadence for future enrollments, use Edit for new members only to create a new version; existing members stay on their original version.

  • Membership changes do not require existing members to re-enroll. Their memberships remain active without interruption.

Edit for New Members Only

Use this option when you want to change a membership without impacting current members.

What happens:

  • A new version of the membership is created.

  • Existing members are placed on a legacy version.

  • Legacy members:

    • Keep their original price

    • Keep original benefits

    • Keep original commitment terms

  • New members only see the updated version.

Admin visibility:

  • The updated membership appears under Available on the Memberships tab.

  • The previous version appears under Legacy, with a version badge, while it still has members. It moves to Archived when its last member leaves.

  • Use Subscribers on the version’s row to see who is on it.

  • Existing members are not moved to the new version automatically. To move an individual member to another membership, schedule a plan change from their profile (it takes effect at their next renewal); see How to Upgrade or Downgrade a Patient Membership. Alternatively, cancel the archived membership and have the member re-enroll in the active membership.

What You Can Edit on the Admin Panel

Admins can edit the following membership fields directly, for new and existing members:

  • Membership name

  • Price

  • Commitment Period

  • Included treatments and rewards

  • Locations

  • Sign-up bonuses

  • Milestone bonuses

  • Beauty Bank settings

  • Rollover settings

  • Visibility and availability

  • Member benefits (non-treatment)

Because price, commitment period, and included treatments are part of your members’ agreements, give your members notice before you change them. If you would rather not change existing members’ terms, use Edit for new members only, which creates a new version of the membership and does not alter any existing member’s agreement.

What Cannot Be Edited at All

  • Membership billing period (billing cadence) once any patient is enrolled. Changing the billing period requires using Edit for new members only to create a new version.

The billing cadence is locked, but you can move the date an individual member is next billed. See Change a client's membership billing date (Admin Panel).

Membership Migration and Integration

Migrating existing memberships into RepeatMD requires manual steps:

  • Members must cancel their current, externally managed memberships (e.g., in-office or another system) to avoid double billing.

  • After cancellation, members can re-enroll in the same membership directly through your RepeatMD app using the signup link.

Configuring Discounts and Benefits

To ensure that products and services receive the correct member discount in the app, follow these steps:

  1. Log in to the Admin Panel.

  2. Go to Catalog → Services and open the Memberships tab.

  3. Locate the membership to edit.

  4. Click the three-dot menu and select Edit.

  5. Add the desired products or services to the membership benefits. Note: If discounts are configured as in-office only, you may need to adjust the settings to allow in-app benefits or request an update to include the products.

Flexible Memberships: Special Considerations

  • Billing period cannot be edited after enrollment.

  • Attempting to change the billing period will require creating a new version for new members only.

Archiving and Legacy Memberships

  • Archived memberships remain available to legacy members.

  • Admins can view earlier versions that still have members on the Legacy tab, and versions with no members on the Archived tab.

  • Archiving does not remove access for enrolled members.

Archiving a Treatment or Package Used by a Membership

You can archive a treatment or package even if it is part of a membership that clients have purchased. You no longer need to contact RepeatMD to do this.

  • Before the item is archived, the Admin Panel shows what archiving it will affect, such as the memberships and automated offers it is removed from.

  • The confirmation reminds you that archiving may change benefits for existing members, so notify affected members before you proceed. Republishing the treatment or package later will not restore the membership and offer links that were removed.

  • If archiving would leave a membership or other item without the treatments, packages, or selections it requires, the Admin Panel blocks it and tells you to replace the item with an alternative or update the required selections first.

Best Practices and Decision Guidance

Use Edit for new & existing members when:

  • Fixing copy or descriptions

  • Updating sign-up or milestone bonuses

  • Adjusting Beauty Bank or rollover settings

  • Updating visibility or availability

  • Changing the price, commitment period, included treatments, or locations for existing members, after giving them notice

Use Edit for new members only when:

  • Launching a new pricing structure for future enrollments only

  • Changing billing period logic

  • Testing new benefits without impacting current members

  • Protecting existing member agreements

Pro tip: When in doubt, default to Edit for new members only to avoid unintended changes to existing members.

Common Mistakes and FAQs

Q: How do I change the price, commitment period, or included treatments for existing members?

A: Open the membership, choose Edit, and select Edit for new & existing members. You can then change the price, commitment period, included treatments and rewards, and locations yourself. Give your members notice first.

Q: Why can’t I change the price?

A: You need access to every location where the membership is offered. If you are a manager without access to all of those locations, ask an administrator to make the change.

Q: How much notice should I give members?

A: The Admin Panel recommends at least 30 days’ notice before you change a membership for existing members, in line with your Terms and Conditions. If you need a change to apply only to new enrollments, use Edit for new members only to create a new version of the membership. Existing members remain on the original version.

Q: Do members receive notifications when edits are made?

A: No. RepeatMD does not send automatic notifications when you edit a membership. You must send out emails to your members, ideally around the 30-day notice.

Q: Can I change the billing period from monthly to weekly?

A: No. Billing period is locked once a patient is enrolled. Use Edit for new members only to create a new version with a different billing cadence.

Q: Can I archive a treatment or package that is part of a membership clients have purchased?

A: Yes. The Admin Panel shows what archiving will affect and asks you to confirm. If archiving would leave a membership without the treatments or selections it requires, it is blocked until you replace the item or update the required selections.

Q: Can I move one member to a different membership without canceling them?

A: Yes. Open the client's profile → MEMBERSHIPS → the membership → Change membership, and choose the new plan. It takes effect at their next renewal and nothing is charged today. See How to Upgrade or Downgrade a Patient Membership.

Q: Can I change the date a member is next billed?

A: Yes, for an individual member, from their profile. See Change a client's membership billing date (Admin Panel).

Q: Can I see which members are on legacy versions?

A: Yes. Open the Legacy tab, then choose Subscribers on the version’s row.

Q: Does editing affect existing charges or past payments?

A: No. Edits only affect future billing and benefits.
