How Printed Schedules Work

Printed schedules give therapists a clear view of their daily caseload, treatment details, and any communication from the DOR. This article explains what appears on printed schedules, how info is organized, and the rules that determine what is included.

Goal of This Article

To explain how RESTORE-Insights generates printed schedules, what information appears automatically, and how timing of announcements and notes affects the printed view.


Who Can Print Schedules

  • Therapists

  • Assistants

  • DORs and Leadership Roles

All users with access to the My Day or Scheduling screens can print schedules.
Note: Printing is per therapist; bulk printing is not yet supported.


Where You Can Print Schedules

Schedules can be printed from two locations:

1. My Day Dashboard

  • Select the therapist’s name

  • Choose Print

2. Scheduler

  • Open the Therapist Scheduling page

  • Select any therapist box

  • Choose Print via the Printer Icon


Information Included on a Printed Schedule

Each printed schedule displays the following elements:

1. Therapist Information

  • Therapist’s name

  • Facility name (if the therapist floats to multiple buildings)

  • Date of the schedule


2. Session Counts & Timing

Printed schedules include:

  • Total number of patients scheduled for the day

  • Treatment time (minutes)

  • Projected Time in Facility

    • Based on the therapist’s productivity standards

    • Automatically calculated


3. Team Announcements

  • Team announcements created by the DOR appear at the top of printed schedules.

  • Announcements must be created before the schedule is printed to appear.

Rule:

  • If an announcement is added after printing, it will show on the digital My Day carousel but not on the already-printed schedule.


4. Overview of Printed Schedule

For each patient on the therapist’s schedule, printed schedules include:

  • Patient name with Payer Type

  • Schedule Session type with Treatment Minutes

    • Individual

    • Concurrent

    • Group

  • Documents Due

  • Treatment Codes & Precautions/Notes

If the patient is being seen by multiple disciplines on the same day, printed schedules show:

  • The secondary treatment

  • Who is also seeing the patient

  • The duration of the additional session


5. Docs Due Indicators

Printed schedules include:

  • Next document due (e.g., progress note, research)

  • Projected due date

  • Reason the document is due

This helps therapists plan documentation throughout the day.


6. Precautions and Contraindications

  • Printed schedules display precautions and contraindications assigned to the patient.

  • If precautions are updated in any daily note, the next printed schedule reflects the updated information automatically.


7. Patient Notes

If the DOR or therapist adds a patient-specific note, such as:

  • “Dialysis at 1 PM”

  • “Family meeting at 2 PM”

…and the note is created before printing, the note displays under that patient on the printed schedule.

Rule:

  • Patient notes added after printing only appear on My Day, not the printed schedule.


What Does NOT Appear on Printed Schedules

Printed schedules do not include:

  • Non-scheduled patients

  • Historical documentation

  • Daily note summaries

  • Progress note summaries

  • Department-wide Docs Due list

  • Alerts or compliance issues

Only the therapist’s active daily schedule and relevant announcements/notes appear.


Updating Printed Schedules

Printed schedules do not update automatically. If:

  • A note is added

  • A team announcement is posted

  • Minutes are adjusted

  • A session is reassigned

A new schedule must be printed to reflect updates.


Common Use Cases

DORs or assistants often print schedules when:

  • Arriving early to prepare team schedules

  • Distributing schedules to therapists at morning huddles

  • Providing schedules for therapists without easy computer access

  • Building coordinated treatment timing across disciplines
