Understanding Monthly Closeout Alerts Overview

The Monthly Closeout Alerts page helps DORs identify and resolve documentation, signature, and compliance items before closing the billing cycle. This guide explains how to review alerts, filter by month, & navigate directly to items that require action.

When to Use This Article
Use this article when you need to:


Overview

The Monthly Closeout Alerts page consolidates all documentation and compliance items that must be completed before the billing cycle can close. Alerts are grouped into Errors, Warnings, and Ignores, based on enterprise rules.

  • Errors must be resolved before closing the month.

  • Warnings allow closeout but should be reviewed.

  • Ignores are informational only and do not impact workflows.

DORs can review all alerts for a selected month, drill into details, and use direct action links to complete required tasks.


Navigating the Monthly Closeout Alerts Page

1. Access the Monthly Closeout Alerts Tab

From the left navigation, open:
Documents → Monthly Closeout Alerts

You can switch between:

  • Monthly Closeout

  • Weekly Closeout

Use filters at the top to select:

  • Month

  • Year

Each row represents a monthly billing cycle.


2. Understanding the Closeout Cycle Table

Each cycle row includes:

  • Cycle Date

  • Total Alert Count

  • Breakdown of Errors, Warnings, Ignores

  • Status (Open or Closed)

  • Action Arrow to view details

Click the arrow to open the detailed alert breakdown.


Detailed Alert View

When you enter a cycle, you will see two major components:

1. Visual Overview

This section displays:

  • Total alerts

  • Errors (blocking issues)

  • Warnings

  • Ignores

  • Top alert themes (e.g., Signatures, Documentation, Billing)

  • Top alert owners (usually therapists)

This helps identify patterns and workload distribution.


2. Alerts Table

Below the summary is the full list of alerts. Each row includes:

  • Alert Title (description of the issue)

  • Theme (documentation, signatures, EOC, billing)

  • Therapist

  • Patient Name

  • Document (eval, daily note, recert, etc.)

  • Due Date

  • Action Link to resolve the alert

Available Actions:

  • Filter by Errors only

  • Filter by Warnings only

  • Print alerts

  • Search by patient, therapist, document type, or keyword

Tip

If you cannot find an alert, clear all filters.


Alert Types and Their Meaning

Errors (Must Be Resolved)

Errors prevent the billing cycle from closing.
Common examples:

  • Documentation Is Overdue

  • Missing Co-Signature

  • Episode of Care Open — Missing Evaluation

  • SSN Missing

  • Incomplete Billing Following an Evaluation

  • Missing Therapist Signature

  • Missing Physician Signature

Errors require immediate action.


Warnings (Review Recommended)

Warnings do not block month-end closeout but should be reviewed.

Examples:

  • Physician e-signature missing (based on enterprise settings)

  • Progress Note approaching due date

  • Documents due soon


Ignores

Ignores appear for visibility only and do not require action.
They are configured by Regional leadership.

Examples:

  • Low-impact demographic fields

  • Informational-only alert types


Taking Action on Alerts

For each alert:

  1. Locate the item in the Alerts Table

  2. Review the alert title and theme

  3. Click the Action link

  4. Complete the task directly from the page you’re taken to

Actions are role-specific:

  • Therapists complete documentation

  • DORs oversee completion and follow up on blockers

  • Physicians sign evals and recerts in their Physician Dashboard


Important Rules

  • Errors must be cleared before the month can be closed.

  • Alerts follow enterprise configuration set by Regional leadership.

  • Monthly closeout updates automatically as tasks are completed.

  • A single document may appear in more than one category depending on missing items.

  • Ignores require no action.
