Future Admissions in Therapist Scheduling

This article explains how to use Future Admissions to schedule evaluation tasks for patients who have not yet been admitted and do not yet appear in the system.

What Is a Future Admission?

A Future Admission is a patient who has not yet been admitted to the facility and does not yet appear in PCC or RESTORE-Insights. Common examples include:

  • Weekend admits

  • Scheduled admits

  • Incoming outpatients

Using Future Admissions allows you to plan ahead by scheduling evaluation tasks before the patient officially enters the system.


Why Use Future Admissions?

Future Admissions help Directors of Rehab (DORs):

  • Block therapist time in advance

  • Prepare for upcoming admissions

  • Ensure timely evaluations, especially on weekends

This removes the need to wait until a patient appears in Restore before scheduling.


When to Use Future Admission vs. Existing Patient

Use an existing patient when:

  • The patient already appears in RESTORE-Insights (even if not yet on caseload)

Use Future Admission when:

  • The patient is not yet admitted

  • The patient does not appear in PCC or Restore

How to Schedule a Future Admission Task

Step 1: Open the Add Task Modal

  • Go to Daily Therapist Scheduling

  • Click + Add Task

Step 2: Select Future Admission

  • Choose Schedule for a Future Admission

  • Enter the patient name (optional)

    • If left blank, the system will assign a placeholder name (e.g., New Patient 1)

Step 3: Complete Task Details

  • Task Type: Evaluation only

  • Minutes: Required

  • Notes for Therapist: Required

    • Include helpful details like room/unit, payer, or admit timing

Step 4: Assign the Task

  • Assign the task to a therapist like any other task

  • The task will appear on both digital and printed schedules


How Future Admissions Appear in the Schedule

  • Displayed using the entered name or a placeholder name

  • Labeled clearly as Future Admission

  • Shows task type and duration


What Happens at the Time of Evaluation?

If the Patient Has Populated (via PCC integration)

  • Patient appears in RESTORE-Insights

  • Opens the patient profile, then clicks the Payers tab to add the current Payer information.

  • Create an Episode of Care (EoC) with a start date on or after the Payer's start date.

  • Open the EOC and click +Create Document to begin the Evaluation

If the Patient Is Still Not in RESTORE-Insights

  • The therapist manually creates the patient profile

    • MRN* is required > validate that it is correct to avoid a duplicate profile

  • Click into the Payers tab to add the current Payer information.

  • Create an Episode of Care (EoC) with a start date on or after the Payer's start date.

  • Open the EOC and click +Create Document to begin the Evaluation

*Once PCC data flows in, RI uses the MRN to match and merge records.


Important Notes & Limitations

  • Only Evaluation tasks are allowed for Future Admissions

  • Therapy tasks cannot be scheduled before admission

  • A Payer and Episode of Care (EoC) are required before documentation

  • Always verify the MRN when manually creating patients to avoid duplicates

By using this workflow appropriately, DORs can ensure evaluation time is reserved, expectations are clear, and care begins smoothly as soon as the patient is admitted.
