✨ When You Need This Guide

Use this guide if you're asking:

  • How can I collect insurance cards from patients automatically?

  • Where can I see uploaded insurance images?

  • Can I include this step in my New Patient Campaign?

If you’re manually chasing down insurance info, this automated tool will save your team serious time.

🔍 What This Covers

✅ Covers:

  • Enabling insurance ID upload in a campaign

  • Suggested verbiage for the template

  • How to manage submissions in Aloha

🛠️ How to Add Insurance Capture to a Campaign

  1. Go to the Campaigns section in Aloha

  2. Open your desired campaign

💡 We recommend starting with your New Patient Campaign

  3. Create a new message template

    • You can use your own wording or start with this example:

“To speed up your appointment, please upload a photo of the front and back of your insurance card by replying to this message.”

  1. After saving your template, click Add New Step

  2. In the Action dropdown, select “Request Insurance”

That’s it! The system will now prompt patients to upload their insurance card images as part of the campaign.

🧾 Where Submissions Go

When patients respond with insurance images:

  • Go to Mission Control > Insurance Verifications

  • You’ll see a list of all incoming submissions

  • Each image can be approved, edited, or denied depending on clarity

✏️ If the image is hard to read, you can manually correct the data fields before approving

👤 Where Insurance Is Stored

Once approved, the insurance info will be:

  • Automatically saved under the patient’s Contact Profile in Aloha

  • Available for use in eligibility verification and billing

✅ You’ll Know It Worked When:

  • Patients respond to your message with uploaded images

  • You see pending submissions in Mission Control > Insurance Verifications

  • Approved cards show up under the patient’s profile
