📅 Tracking Your ALOHA® Appointments

Easily view, track, and manage appointments scheduled through Online Scheduling or the Scheduling App

Getting a clear view of your schedule shouldn't be a chore! This guide helps you navigate your appointment dashboard and understand exactly where your bookings are coming from—whether they're from your team or your AI assistant.


✨ When You Need This Guide:

  • You want to see a full history of all your bookings in one place.

  • You need to verify if a lead came from your website, a Facebook ad, or the mobile app.

  • You want to see which appointments were automatically handled by CharlieAI.

  • You need to filter your list to see "Booked" appointments versus "Leads."

What This Covers (And What It Doesn't):

  • ✅ This covers viewing appointment details and identifying the origin of appointments scheduled from your ALOHA tools.

  • ❌ This doesn't cover technical setup for the Charlie AI integration or modifying appointment times.

Prerequisites/You'll Need:

  • An active ALOHA account.

  • Standard user or admin login credentials.


✅ Identifying Your Appointment Sources

  • Go to the SCHEDULING tab in your ALOHA dashboard

  • Click on SCHEDULING HISTORY

  • Review your list. You can now see every booking made via Online Scheduling, the Mobile App, the Patient Portal, or AI (CharlieAI).

  • Set your timeframe by clicking the Dates fields at the top center of the screen.

  • Refine your view by clicking the blue Filters button on the top right. You can drill down by:

    • Appointments vs. Leads: Separate booked appointments from potential new clients

    • Origin: Where the appointment was booked

    • Status: The status (scheduled or attended) of the appointment.

    • Type: The specific service booked.


📊 What Do the Columns Mean?

Here’s a quick breakdown of each column on the Scheduling History page:

Contact

The name of the patient who scheduled the appointment

Phone

The phone number entered during scheduling

Appointment Type

The specific type of appointment booked

Provider

The provider the appointment was scheduled with

Origin

Where the booking happened (e.g., Online Scheduler, Mobile App, etc.).

Source

Name of the website scheduler used (i.e Facebook Ad, NP OS)

How?

How the patient heard about your practice (if entered)

Scheduled At

The date/time the patient made the booking

Appointment Date

The actual appointment date selected by the patient

  • You can see a complete list of all external bookings in the Scheduling History.

  • Appointments booked by CharlieAI show up clearly with the AI label.

  • You can use the Filters button to quickly find "Leads" versus "Booked" appointments.
