Creating Multiple Reactivation Reminders

Send different follow-up messages based on time, provider, or appointment type

This guide helps with common requests like:

🧩 What You’ll Need

Before getting started, make sure:

  • You’ve already created or are ready to write multiple message templates.

  • You know how long after a patient’s last visit you want each reminder to send.

  • You’ve decided whether messages should vary by provider or appointment type.


✅ Set Up Multiple Reactivation Reminders

Here’s how to set up personalized, timed reactivation messages:

1. Create Your First Template

  • Go to the Gear Icon (⚙️) > click SHOW TEMPLATES

  • Scroll to the "Reactivation Reminder" section and click into the existing template

  • Customize the first message however you’d like

2. Duplicate the Template

  • Click the COPY button underneath the message box

  • This creates a second template

  • Edit the new template to reflect different wording, tone, or instructions

    • Example: You might say “We miss you!” at 1 month, and offer a special at 4 months

You can repeat this process to create as many versions as you need

3. Assign Reminder Logic

Once your templates are ready:

  • From the Gear Icon (⚙️) > Automation, scroll down to the Reactivation Reminders section

  • Set the parameters for your first reactivation reminder:

    • Inactivity duration (e.g., patients who haven’t visited in 1 month)

    • Repeat frequency (e.g., resend every 2 months)

    • Target (specific provider(s) or appointment type(s))

    • Message Template (select the one you edited earlier)

4. Add Additional Reactivation Messages

  • Click the blue "ADD REACTIVATION REMINDER" button

  • For each new reminder:

    • Choose the inactivity window (e.g., 4 months)

    • Select how often to repeat it (e.g., every 3 months)

    • Pick the template you want to send (e.g., "Reactivation Reminder Copy")

Repeat this step as many times as needed for additional reactivation strategies.

5. Save Your Work

  • Once all messages and timing are configured, click SAVE REMINDERS


🎉 You’ll Know It Worked When:

  • Multiple reminders appear in the Reactivation Reminder list

  • Each has different inactivity timelines and message templates

  • Targeted patients begin receiving the correct message at the right time
