How to Run a Manual Vision Eligibility Search

Want to save some time in the office?

On average, the "Eligibility and Benefits Search Engine" saves offices about 10 staff hours per week by eliminating the busy work associated with running insurance eligibility and benefits.

Providing the eligibility and benefits for all insured members of a family also, makes the conversation much easier for staff to schedule multiple appointments on one call, which can lead to additional revenue! In 5-10% of cases, we tend to find multiple insurance plans for patients that they did not even realize that they had, which then allows the office to maximize their available benefits.

To run a manual "Vision" search in Aloha:

1. Click the Eligibility Search button in the upper left

hand corner.

2. Enter the patient's Last Name, First Name, and Date of Birth or you can also run a search with the Full Member ID and VCP payer.

  • For VSP, make sure to search by the Primary Insurance Holder. All dependents will appear below.

3. Click the "Search" button.

4. Patient results should appear once loaded. once the patient is populated you will know the patient’s eligibility.

  • Blue results are “active results”, which means the search was conducted in the last 48 hours or less.

  • If the results are highlighted in Grey these results are older than 48 hours and should be refreshed for the most accurate results.

  • Green Dot = Eligible

  • Red Dot = Not Eligible

  • Yellow Dot = Authorization being Held

  • The number next to the vision payer indicates the patient has more than one plan for

    that specific vision payer. For instance, they might have a discount plan also.

5. Click the patient's name to view more detailed information regarding the patient's plan.

  • On the top right-hand corner, you will see the “Eligibility as of date” and this indicates when the search for the benefits reflected was conducted.

  • When the patient will next become eligible if they are not eligible.

  • The frequency data will help schedule your patients, reflecting when their plan turns over or how often their benefits renew.

6. Click the "Plan Details" button to see a standardized form that has been created across all vision payers and plans in the same format, to help decrease the learning curve for

new staff that may not be familiar with reading the different vision plans.

7. Click the "Plan Snapshot" button to view a PDF of the patient's eligibility and benefits. This is the snapshot you are used to seeing when you go to the vision portals.

  • You can print from the screen or save it as a PDF and upload it into the patient’s file.

  • Aloha also saves a copy of this in the Eligibility History tab that populates when you click on the patient’s name for more details along with Order History.

  • A copy of the snapshot can also be saved in any EHR Aloha has full integration.

*Out-of-network benefits will not be shown through the search. We currently only work in the in-network space, leveraging your portal credentials to obtain patient information.
