✨ When You Need This Guide

Wondering which appointments are triggering automated reminders or need to turn off reminders for internal appointment types? This article helps you easily check and manage reminder settings based on the appointment type. Use this when:

  • You're not sure which appointment types are sending automated reminders

  • You want to stop reminders from being sent for certain internal or non-patient visits

  • You need to know if a campaign or regular reminder is being triggered

  • You're checking if specific appointment types have feedback or review requests enabled

👀 Common questions this solves:

  • “Which appointment types are sending reminders?”

  • “How can I stop reminders for internal visits?”

  • “Are campaign messages going out for the right appointments?”

✅ How to Check Reminder Settings by Appointment Type

This section shows you how to check which appointment types are turned on for automated reminders and other related settings like feedback.

  1. Click the gear icon (Settings) You'll find this in the top-right corner of your Aloha dashboard. If you cannot see the gear icon, ensure you are logged in with an Admin-level account, as staff-level accounts may have restricted permissions.

  2. Go to the “Integrations” page From the settings menu, select Integrations to view your appointment sync options.

  3. Click "Edit Appointment Type Settings" This opens the full list of appointment types and their individual settings. Before proceeding, confirm that you have the necessary admin permissions to access and modify these settings.

  4. Turn on the “Recent” toggle to view all types By default, it only shows recent types. Switch from Recent → All in the top right to reveal older or internal types.

  5. Check the “Reminders” column If the Reminders switch is ON, that appointment type will trigger an automated appointment reminder.

  6. Review other important columns:

Setting

What It Means

Feedback

Sends a feedback request after the appointment

Patient Visit

Counts toward patient stats in the dashboard

New Patient

Identifies this type as a new patient visit

No Show

Determines whether this counts as a missed appointment in your reports

🎉 You'll Know It Worked When:

  • You see all appointment types listed

  • You can clearly see which ones have Reminders, Feedback, or Visit Stats toggled ON or OFF

  • You successfully disable reminders for internal or staff-only appointment types

Troubleshooting Missing Gear Icon Issues

If you cannot locate the Gear icon:

  1. Verify that you are logged in with an Admin-level account.

  2. Ensure you are using the correct login credentials associated with Admin permissions.

  3. Check if your account has the necessary permissions to access the specific feature you are looking for.
