How to Create a New Careplan

Care Plans, New Patient Plan, Careplan, Wellness, Subscription, Pre-Paid, Pay-As-You-Go

There is nothing more rewarding than helping people get back on track to leading healthier lives. This is where Careplans can come in handy! Careplans are an easy way of shaping the direction of patient care.

In Clerk, Careplans are tracked by Services Rendered. This means that you will need a Service or Product to be created for your Appointment Types. For instance, if you have a Wellness Careplan that lasts 60 days, and includes eight Adjustments/Office Visits, four Massages, and a set of Exercise Bands, you will need Products/Services those! Let’s get started setting up a Careplan!

Step One: Adding Individual Products / Services

First, let’s make sure you have your Products/Services set up. Head over to Settings > Product, Invoice and Payment Settings > Products. To add a Product, simply click + Add a Product:

Then, you will choose from the following categories: Service, Supplement, Cosmetic, or Miscellaneous. Once the Category has been selected, you will enter in a name, such as Office Visit. Click Save Product to bring you to this screen:

Here, you can specify the Price, add Insurance Codes, Tax Rates, choose whether or not you would like to track the Product, or to associate the Product/Service with a Careplan.

Note:✨ The only time that you will want to associate the Product/Service with a Careplan is if you are creating the full, overall price of the Careplan, as shown below, which is how a Pre-Paid Careplan will be assigned to the patient!

Note:✨ If you would like your patients to pay-as-they-go, we got you! We'll cover that a bit further down the Article!


Step Two: Adding a Careplan

To add a new Careplan, head on over to the Settings > Location Settings > Careplans. Here, you will find all the existing Careplans currently in the system. To add a new one, simply click + Add a Careplan:

Next, it will ask you to name your Careplan, add an Effective Period (how long the Careplan will last), and add the Products and the Quantity allowed for each Product (to add more than one Product, simply select the Save button next to the Product):

If you would like your patients to pay for their Services each time they come in, simply turn on the Pay As You Go Toggle!

Note:✨If this Toggle is left turned OFF, any Services added to an Invoice that are included in a Patient’s Careplan will be zeroed out under the assumption they have pre-paid for that Careplan and its included Services.

You can even add Careplan Alerts, which is helpful for when Careplans are about to run out and you will need to assign a new Careplan to a patient (✨Psst!✨ You can CLICK HERE to learn how to do this!).

And there you go! You are now ready to rock and roll with your Careplans! 🙌
