Rate Tables allow your company to centrally manage the labor, equipment, and material rates used with T&M With Rates.
Each Rate Table defines the rates to use and the criteria that determine when those rates apply. Rate Tables can be assigned to individual Projects or managed at the Group level, allowing rates to be applied consistently across multiple Projects.
➕ Create a Rate Table
From Company Settings, navigate to Rate Tables.
Create a new Rate Table by selecting "CREATE" and enter a descriptive name that helps identify when or where it should be used.
Click Modify to open the Rate Table screen
Select the appropriate tab to configure your rates:
Labor Rates
Equipment Rates
Material Rates
Click Add New Rate to create a rate within the selected category.
Enter the rate details and applicable matching criteria.
Repeat as needed to add additional rates.
A single Rate Table can contain Labor, Equipment, and Material Rates.
👷 Configure Labor Rates
Labor Rates use employee and Project information to determine which rate applies.
Matching criteria can include employee attributes such as Union, Trade, Classification, Certifications, and Licenses, as well as Project attributes such as Client Name.
When multiple matching criteria are configured, all populated criteria must be satisfied for the rate to match. If multiple values are selected within a single criterion, only one of those values needs to match.
For example, consider a Labor Rate configured with the following criteria:
Union: Mason
Trade: Mason
Classification: Foreman, Field Supervisor
Client Name: Avis Const
Time Type: All
Tip: Right-click the image and select Open image in new tab to view a larger version.
This Labor Rate will apply when the employee belongs to the Mason Union, has a Mason Trade, and is classified as either Foreman or Field Supervisor while working on a Project associated with Avis Const.
If a matching criterion is left blank when configuring a Labor Rate, Rhumbix will not consider that criterion when determining whether the rate applies.
Configure Equipment and Material Rates
Equipment and Material Rates follow the same configuration process as Labor Rates. Select the appropriate tab within the Rate Table, add your rates, and configure the applicable matching criteria to determine when each rate applies.
↕️ Prioritize Your Rates
Rhumbix evaluates Labor, Equipment, and Material Rates from the top of their respective lists downward, using the first matching rate it finds.
Place your most specific rates at the top of the table and more general rates below them. This ensures that rates with more specific matching criteria are evaluated before broader rates.
For example, rates could be prioritized in this order:
Union Journeyman — Matches a specific Union and Classification.
Journeyman — Matches the Classification without requiring a specific Union.
General/Catch-All Rate — Applies when neither of the more specific rates matches.
To reorder rates, hover over the drag handle to the left of a rate until the hand cursor appears. Then click and drag the rate to its desired position.
🗓️ Certifications and Licenses
When a rate uses a certification or license as matching criteria, Rhumbix considers its applicable dates when determining whether the rate matches.
An expired license or certification will not be used to match a rate for a date when it is no longer valid.
📋 Duplicate Rate Tables and Individual Rates
You can duplicate an entire Rate Table or individual rates to save time when creating similar rate configurations.
Duplicate a Rate Table
If multiple Projects require similar rate structures, you can duplicate an existing Rate Table and modify the rates or matching criteria as needed.
From Company Settings > Rate Tables, select the checkbox next to the Rate Table you want to duplicate.
Click Duplicate in the toolbar.
Update the duplicated Rate Table's name, rates, or matching criteria as needed.
Duplicate Individual Rates
To duplicate one or more rates within a Rate Table:
Select the checkbox next to the rate(s) you want to duplicate.
Click Duplicate in the toolbar.
Update the duplicated rates as needed.
Duplicating rates allows you to reuse existing configurations without recreating each rate from scratch.
🏗️ Assign Rate Tables to a Specific Project
Once your Rate Table is configured, you can assign it directly to an individual Project through Project Settings.
Navigate to the appropriate Project and select Modify Project.
Under Applied Rate Tables, select the Rate Table(s) you want to assign.
If multiple Rate Tables are assigned, arrange them in the order they should be evaluated by using drag and drop.
Save your changes.
Rhumbix evaluates assigned Rate Tables in order and uses the first matching rate it finds.
🏢 Apply Rate Tables to Multiple Projects Using Groups
Rate Tables can be managed at the Group level to apply consistent rates across multiple Projects. Using Cascade Settings, you can choose whether Rate Tables apply to existing Projects, new Projects, or both.
To apply Rate Tables using Cascade Settings:
Navigate to Company Settings > Groups and select Modify.
Under Applied Rate Tables, select the Rate Table(s) you want to assign.
Select Save
Open Cascade Settings and enable Rate Tables by clicking the toggle.
Select the appropriate checkboxes for the Groups or Subgroups you want to update:
Update Group: Applies the selected Rate Tables to the selected Group or Subgroup so they automatically apply to new Projects.
Include Projects: Applies the selected Rate Tables to existing Projects within the selected Group or Subgroup.
Select Preview Changes to review the changes before applying them.
You can select either option independently or use both together, depending on whether you want to update new Projects, existing Projects, or both.
Important: Applying Rate Tables through Cascade Settings can replace existing Rate Table assignments. Review the preview carefully before confirming your changes.
