💳 P-Card FAQ & Troubleshooting Guide
🔄 Refunds & Card Issues
If someone’s card is frozen, can they still receive a refund?
Yes. Even if the card is frozen, refunds will still post back to the account. A negative transaction will appear in the Transactions → P-Card tab, showing the refund amount.
When will my refund appear?
Once processed, the refund will automatically appear in the P-Card transaction list as a negative amount. You can track it under the associated timesheet.
What if a purchase was made with a card that’s now unavailable (employee left, etc.)?
You can attempt an in-person return and explain the situation to the merchant. If needed, we can securely provide the original card details to verify the transaction.
⚠️ Note: Some merchants require the physical card for refunds and may decline returns without it—it’s up to their policy.
🚨 Reporting Fraud or Declined Transactions
How do I report fraud on my P-Card?
Immediately freeze the card in the Cards tab
Email help@rollcredits.io with details of the fraudulent transaction(s)
We’ll guide you through the dispute process, which may take up to 30 days. Please note that dispute outcomes are decided by Visa, and Roll Credits cannot guarantee results.
My purchase was declined. What should I do?
Check your card balance and limit in the Cards tab
Ensure you're using the correct billing address and CVC
Virtual and physical cards have different CVC numbers
If the issue persists, contact help@rollcredits.io
💳 Spending Limits & Permissions
My card has reached its spending limit. What do I do?
Reach out to your manager to request a limit increase.
I’m a Manager or Super Admin. How do I adjust someone’s card limit?
Go to the Cards tab
Click More next to the card
Select Adjust Limit
Enter the new limit and click Update Limit
The change takes effect immediately.
🧾 Receipts & Transactions (Uber, Amazon, Tips)
Why isn’t my Uber or Amazon receipt matching the transaction?
These vendors often split charges across multiple transactions (e.g., tips, partial shipments), which may not match the total on a single receipt.
In these cases, our AI receipt matcher will not auto-match the receipt. You’ll need to manually upload receipts for each transaction.
How do I manually upload a receipt?
Go to Transactions → P-Card tab
Click the eye icon on the far right of the transaction
Scroll to the bottom of the review panel
Upload your receipt manually
Tip: If multiple transactions share one receipt (e.g., Amazon order), upload the same receipt to each one.
What if the tip is processed separately but appears on the same receipt?
Same steps apply: manually upload the receipt to each related transaction in the P-Card tab.
📬 Card Settings & Details
Where can I find my billing address?
Log in and go to the Cards tab. Your billing address is listed there for both physical and virtual cards.
Why is my transaction still pending?
If your charge is still pending after 5–7 business days, contact the merchant directly to inquire. Processing delays vary by vendor.
Do my physical and virtual cards share the same limit?
Yes. Both card types are linked and share the same spending limit.
Where can I find my physical card number?
It’s printed on your physical card and not viewable online. If your card is lost or stolen, email help@rollcredits.io immediately so we can freeze and replace it.
Can I create a card with a generic or team name?
Yes, but we recommend using a valid-sounding name to avoid fraud alerts.
Examples that work well:
“Wardrobe Team”
“Production Coordinator”
“Accountant Team”
Avoid using random characters or symbols.
How do I get my PIN for ATM withdrawals?
Go to the Cards tab
Click More → Pin Number
Your PIN will appear
⚠️ Note: ATM access is not enabled for all productions. Check with your manager to confirm availability.
🎬 Multi-Project Spending
I’m working on multiple productions. How do I separate funds?
We recommend using one card per project to avoid confusion and ensure accurate tracking. Each card can be labeled or named according to the production.
