P-Card FAQ [Stripe]

If your RollCredits P-Card is Black, then this will be a Stripe/RollCredits card! Below are instructions on how to get things moving.

๐Ÿ’ณ RollCredits P-Card User Guide

Welcome to your RollCredits/Stripe P-Card! Hereโ€™s everything you need to knowโ€”from activating your card to uploading receipts and managing settings.


๐Ÿš€ How to Activate Your P-Card

  1. Log in to your RollCredits account:
    โ€‹https://app.rollcredits.io

  2. Set up your profile:
    Go to Settings and add your full name and (optionally) phone number.
    ๐Ÿ“ฒ Adding your phone number is highly recommended so you can receive text alerts for purchases and use AI-powered receipt uploads!

  3. Activate your card:

    • Visit the Cards tab

    • Click the box to accept Stripeโ€™s Terms & Conditions

    • Click "Activate" โ€“ this activates both your Virtual and Physical P-Cards (if applicable) ๐ŸŽ‰


๐Ÿ”’ How to Find Your PIN

  1. Go to the Cards tab

  2. Click "More" next to your card

  3. Select "View ATM Pin" โ€“ your 4-digit PIN will be displayed ๐Ÿงพ

๐Ÿ’ก Note: Only physical P-Cards can be used at ATMs.


๐Ÿ“ฆ How to Track Your Physical P-Card

  1. Go to the Cards tab

  2. Find your card, click "More", then "Tracking Info"

  3. Your tracking number will be shown once the card has shipped ๐Ÿšš
    ๐Ÿ“ฌ Physical P-Cards ship within 2 business days.


๐Ÿงพ How to Find Your Billing Address

  1. Go to the Cards tab

  2. Your billing address will be displayed next to your card info


๐Ÿ’ป How to View Your Virtual P-Card

  1. Go to the Cards tab

  2. The displayed card is your Virtual P-Card

  3. Click the "eye icon" (bottom right) to flip the card and reveal full details ๐Ÿ”

๐Ÿ›‘ Note: Physical cards ship separately and are not shown in the app.

โœ… Virtual and physical cards are synced and pull from the same limit.


๐Ÿ“ค How to Upload Receipts

  1. If youโ€™ve added your phone number, youโ€™ll get SMS alerts after each purchase

  2. Tap the link in the text to upload receipts via our AI-powered uploader ๐Ÿค–

  3. Or go to Settings to manage SMS receipt upload options

๐Ÿ’ฐ How to Check Card Balance & Limit

  1. Visit the Cards tab

  2. Youโ€™ll see:

    • ๐Ÿ’ธ Amount spent

    • ๐ŸŸข Remaining balance

    • ๐Ÿšง Total limit


โŒ How to Cancel Your P-Card

  1. Go to the Cards tab

  2. Find the card you'd like to cancel

  3. Note:

    • Card owner name

    • Last 4 digits of the virtual card

    • Last 4 digits of the physical card (if issued)

  4. Email this info to help@rollcredits.io

โš ๏ธ Cancelled cards cannot be reactivated. A new card must be issued.


๐Ÿงฎ How to Update Card Limits

๐Ÿ” Only Super Admins and Managers can adjust limits.

  1. Visit the Cards tab

  2. Click "More", then select "Adjust Limit"

  3. Enter your new limit in the pop-up, then click "Update Limit"


๐Ÿง How to Enable or Disable ATM Withdrawals

๐Ÿ” Only Super Admins and Managers can change ATM settings.

  1. Go to the Cards tab

  2. Click "More", then:

    • Click "Enable ATM Withdrawals" to turn it on

    • Click "Disable ATM Withdrawals" to turn it off


๐Ÿ’ณ P-Card FAQs

Do I need a RollCredits account to create a P-Card?

โœ… Yes! Only users with Super Admin or Manager roles can create P-Cards.


Is a virtual P-Card required to create a physical one?

๐Ÿ“ฑโžก๏ธ๐Ÿ’ณ Yesโ€”every physical P-Card must be linked to an existing virtual P-Card.


Can a P-Card be used for multiple projects?

๐ŸŒ Yes! Here's how P-Card funding works at the company level:

  1. ๐Ÿ“ Complete P-Card Onboarding and ๐Ÿ”— link your bank account.

  2. ๐Ÿ’ผ Once complete, you'll receive a designated card fund account to wire or ACH funds into.

  3. ๐Ÿ’ฐ These funds go into your Company P-Card Fund, which acts as a central pool.

  4. ๐Ÿš€ Project-specific P-Cards will draw from this top-level fund.


Who can manage the P-Card program?

๐Ÿ› ๏ธ Only users with Owner, Super Admin, or Manager roles can manage the program.


How can I check my P-Card balance?

๐Ÿ‘€ Go to the Cards tab in your dashboard.
There, youโ€™ll see:

  • ๐Ÿงพ Your cardโ€™s total limit

  • ๐Ÿ’ธ How much has been spent

  • ๐Ÿ’ต How much is left


How do I get unused card funds refunded to my bank account?

๐Ÿฆ Just email us at help@rollcredits.io, and weโ€™ll get your refund started!


How do I code P-Card transactions?

๐Ÿงฉ Follow these steps:

  1. ๐Ÿ“‚ Ensure your project has an uploaded budget.

  2. Go to Transactions โ†’ P-Card tab.

  3. There are two ways to code:

    • โšก Quick code: Use the โ€œCategoriesโ€ column dropdown directly in the table.

    • ๐Ÿ” Detailed code: Click the eye icon, go to the Receipt tab, and scroll to the mini Account table to assign a category.


I entered the wrong shipping addressโ€”what should I do?

๐Ÿšซ๐Ÿ“ฆ Unfortunately, we can't change the address once your physical P-Card has been ordered.
Theyโ€™re processed fastโ€”within 1 business dayโ€”and ship overnight.
๐Ÿ‘‰ Email us at help@rollcredits.io and weโ€™ll cancel the current card so you can reorder with the correct address.


Where can I find the tracking number for my P-Card?

๐Ÿ“ฆโœˆ๏ธ To track your P-Card:

  1. ๐Ÿ” Log in to your RollCredits account: app.rollcredits.io

  2. ๐Ÿ—‚๏ธ Go to the Cards tab or visit app.rollcredits.io/cards

  3. ๐Ÿ‘‡ Click More on the card and select Tracking Info
    You'll see the tracking number once the card is shipped!


๐Ÿ›‘ How Can I Cancel a P-Card and Remove It from the Dashboard?

To cancel a P-Card, just email us at help@rollcredits.io with the name or details of the card youโ€™d like to cancel.

โš ๏ธ Important Notes:

  • Only cancel a card at the end of a project, or in cases of fraud or misuse.

  • Donโ€™t cancel a card if you're waiting on a refundโ€”just click โ€œFreezeโ€ in the app to temporarily pause the card instead.
    Freezing allows refunds to return to the card without disruption.


๐Ÿง‘โ€๐Ÿ’ผ Can I Create a General Card for an Employee Not Tied to a Project?

At this time, all P-Cards must be linked to a project. But hereโ€™s a helpful workaround:

๐Ÿ“ Create a general-purpose project (e.g., โ€œCompany Officeโ€)
๐Ÿงพ Then assign P-Cards to team members for admin or non-production use under that project.

๐Ÿ“‚ How Can I Filter Transactions With or Without Receipts?

  1. Go to Transactions โ†’ P-Card

  2. Locate the โ€œFileโ€ column

  3. Click the ๐Ÿ”ฝ triangle icon to filter

  4. Choose either:

    • โœ… "Has File" โ€” to see transactions with receipts

    • โŒ "No File" โ€” to see which ones are missing receipts

Super quick way to track what still needs attention!


๐Ÿ“ญ What Should I Do If I Lost a Receipt or Donโ€™t Have One?

  1. ๐Ÿšจ Alert your Manager that the receipt is missing.

  2. Go to Transactions โ†’ P-Card

  3. Find the transaction and click the eye icon ๐Ÿ‘๏ธ to review

  4. In the Review tab, do the following:

    • ๐Ÿ“ Add a note explaining the missing receipt

    • โœ… Check the box for "No file to upload?"
      That marks the transaction as reviewed despite not having a receipt.
