1. Prepare Your Petty Cash Log

  • Save your petty cash log in .xlsx format, which is required for importing into Hot Budget.

  • Ensure the file includes all standard fields:

    • Date

    • Description

    • Cost Code

    • Amount

  • Use the standardized structure recommended for Hot Budget entries.

2. Access the Budget Tracker

  • Open Hot Budget and go to your project’s Budget Tracker:

    • From the Project Dashboard, click ā€œTrack Budgetā€, or

    • Use the left-hand menu: Actualize > Budget

3. Start the Import Process

  • In the Budget Tracker dashboard, click the ā€œImportā€ button.

4. Upload Your File

  • Select your prepared .xlsx petty cash log from your computer.

5. (Optional) Override Cost Code Descriptions

  • To replace existing cost code descriptions in your project’s chart of accounts with those from your file:

    • Enable the ā€œOverride cost code descriptionsā€ toggle.

6. Finalize the Import

  • Click ā€œImportā€ to complete the upload.

7. Verify the Import

  • Once the import is successful, view your data in the Summary section of the Budget Tracker.

8. Make Adjustments if Needed

  • Review the imported entries and edit them directly in Hot Budget as necessary.
