✏️ How do I create a PO (Purchase Order)?

There are two easy ways to create a PO:

🔹 Method 1: From the PO Page

  1. Click the "Purchase Orders" tab

  2. Hit “Create New PO”

    • A new PO will be instantly created and assigned a unique number 🆕

🔹 Method 2: From a Transaction

  1. Open any transaction and click the eye icon 👁️

  2. In the pop-up, find the “Purchase Order” dropdown menu

  3. Choose to add to an existing PO or create a new one 💼


📚 How do I create a series of POs?

Want to create multiple POs in a row? Here’s how:

  1. Click the “Purchase Orders” tab

  2. Click “Create New PO” as many times as needed 🌀
    Each click creates a new PO with a unique number.


🔁 Can I change the PO number?

Not at this time!
🚫 PO numbers are auto-generated and cannot be changed manually.

🏷️ Can I name or rename my PO?

Currently, PO names are automatically generated in RollCredits.
We're working on allowing custom PO names soon! 🛠️

🗂️ Can I allocate POs to a department?

Not yet—but we hear you! 🎧
Right now, PO-to-department allocation isn’t supported.

We’re actively working on this feature.

📎 How do I add an estimate or invoice to a PO?

🔹 Method 1: From the PO Page

  1. Click “Purchase Orders”

  2. Find the PO → scroll to “Upload Document”

  3. Click “Upload”, choose Estimate or Invoice

    • It will be attached automatically 🎯

🔹 Method 2: During Upload

  1. Go to Transactions → Vendors & Contractors

  2. Click “Upload & Scan” → select Estimate or Invoice

  3. In the upload window, check “Upload Into A PO?”

  4. Use the dropdown to select the PO ✅


🔗 How do I add transactions to a PO?

🔹 Method 1: During Upload

  1. Go to Transactions → P-Card or Other Expenses

  2. Click “Upload”

  3. In the upload window, check “Upload Into A PO?”

  4. Choose the correct PO from the dropdown

🔹 Method 2: From an Existing Transaction

  1. Click the eye icon 👁️

  2. Use the “Purchase Order” dropdown to assign it to an existing or new PO


🧮 How do POs show up in my budget?

You can toggle on the "Open POs" column in your budget view 🧾
This helps you see committed spend that hasn’t been paid yet.


How do I approve a PO?

There’s no formal “Approve PO” button just yet—but you can approve estimates, invoices, or receipts within a PO.

📑 Where do I upload vendor contracts or rental agreements?

(aka Supporting Documents)

  1. Click “Purchase Orders” → then “View/Edit PO”

  2. In the PO details window, click the “Supporting Documents” tab 📂

  3. Click “Upload New Document” and add your files—done! 🥳

📌 Great for rental agreements, insurance docs, or other backup files (excluding W9s, which live in the Vendor tab).
