Zones and Personal Inboxes

Overview


RueBaRue now offers Zones and Personal Inboxes to help your team stay organized, manage guest messages efficiently, and ensure nothing gets missed. Previously, everyone shared a single inbox, which could get noisy as teams grew. With this update, messages are routed to the right people, while admins retain a full “All Messages” view as a safety net.


Key Features

1. Personal Inbox

  • Each team member has their own inbox showing only relevant messages.

  • Read/unread status, priority, and archived messages are individual, allowing each user to manage their workflow.

  • Messages appear based on the Zones the user is assigned to.

2. Zones

Zones group properties and team members to route messages automatically.

  • Benefits:

    • Assign properties to a Zone (e.g., by location or department)

    • Assign users to a Zone

    • Messages from properties automatically go to the right team members

3. All Messages (Admin Safety Net)

  • Admins can see all messages in one place by clicking All Messages.

  • Built-in guardrails prevent missed messages:

    • Zones can’t be saved without assigned users

    • Zones with no users route messages to an Unassigned area

    • Admins can recover messages if team assignments change


How to Set Up

Step 1: Create Zones

  1. Go to the Zones page

  2. Click the +ITEM button and set it up for your team

Step 2: Assign Users to Zones

  • On the Zones page, click the purple icon under each Zone to assign users

  • Or assign users from the Users page

Step 3: Attach Home Guides to Zones

  1. Click the purple icon under Zones for each property to assign it to the correct Zone

Messages from properties in a Zone will only appear for users assigned to that Zone. Properties without a Zone will continue sending messages to all team members.


Default Zones

  • Unknown Numbers: Messages from phone numbers not recognized in your system

  • Webchat Messages: Messages from your embedded website chat


Important Notes

  • You can create as many Zones as needed based on location, department, or workflow.

  • Make sure your mobile app is updated for the best experience with Zones and Personal Inboxes.


FAQs

Q: Do I need to set up my Personal Inbox individually?
A: No. Once Zones are set up and you’re assigned to a Zone, messages will automatically appear in your inbox.

Q: Can admins see messages for all Zones?
A: Yes. Admins have access to All Messages for full visibility.

Q: What happens if a Zone has no users?
A: Messages will route to the Unassigned area, and admins can reassign as needed.
