Assigning Packages and Memberships to a customer account in Admin

On the Admin side, you can also manually assign a Package or Membership to a customer's profile. For instances where there's a new customer at your facility, who would like to sign up for a membership on the spot!

To manually assign a package or membership

  1. In Swift Admin, navigate to the customer's profile

  2. Select the corresponding tab, Memberships or Packages

  3. Click the Add button, i.e, Add Package or Add Membership

  4. Select the applicable service you're adding to their account.

  5. Select the applicable Payment Method.


    Note: If you select "Card", it will charge the customer's card on file as soon as you Add the package or membership to their account. You do not need to separately charge them.


I'm taking payment for a membership outside of Swift, or the customer is paying in cash. How can I assign the membership to a customer without adding a credit card?

If you collect payment for a membership outside of Swift (i.e, Cash, Venmo) and want to assign the membership to a customer without selecting a credit card, you can do so by creating and applying the coupon when assigning the membership to their profile. Follow the steps below to complete this process:

Creating a Coupon

  1. Go to Marketing > Coupons

    1. Set the Type to Percentage

    2. Set the Amount to 100%

    3. Set the Duration to Forever

  2. Adjust all other settings of the coupon to suit your preferences

  3. Click Save to create the coupon

Assign the Membership with the coupon applied

  1. Go to the Customer's profile and select the Memberships tab

  1. Click the Add Membership button

  2. Select the Membership from the drop down list

  3. Enter in the Coupon Code field, enter the coupon code and click the Apply button

  4. Next, click the assign Assign Membership button to confirm

This will allow you to assign the membership without needing to add a credit card to the customer's profile.


How can I delete a package from a customer's account?

Currently, there isn’t a direct way to delete a package from a customer’s account — but you can effectively remove it by redeeming all the credits.

  1. In Swift Admin, navigate to the customer's profile

  2. Click on the Packages tab

  3. Find the package and select the More (...) icon

  4. Click the Redeem Credits option. Enter the amount of credits you would like to redeem or remove from their package

Once all credits in the package have been redeemed, the package will show as 0 credits remaining, but the package will remain visible in the customer's profile for tracking and reporting purposes. This helps maintain an accurate activity log while keeping the customer's account up to date.
