How to pre-approve physical therapy/physiotherapy

Pre-approval, pre-authorization, direct billing, physical therapy, physiotherapy, physiotherapist

Seeking physical therapy with your SafetyWing plan? You’re in the right place!

Your plan’s outpatient benefit includes coverage for physical therapy/physiotherapy sessions. Check out your coverage details for the benefit’s terms and limits.

⚠️ If you’re planning to start or continue physical therapy, please request pre-approval in advance to confirm whether your treatment is eligible for coverage under your plan.

⏱️ Timeline: The pre-approval review takes up to 7 business days.

Below, you’ll find the documents required for pre-approval and a step-by-step guide to the process.

Documents required

All documents must be provided on the provider’s letterhead and be signed and stamped by the provider.

1. Medical report

A medical report from your orthopaedic specialist or treating physician must include:

  • The date your symptoms first appeared

  • Your diagnosis, diagnosis date and ICD-10 code

  • Any relevant medical history, including related previous treatments

  • Any relevant test results

  • A medical order or prescription for your physical therapy

❗ Important: We cannot accept a diagnosis provided by your treating physiotherapist. The diagnosis must come from an orthopaedic specialist or another licensed physician qualified to make clinical diagnoses.

2. Treatment plan

A treatment plan from your physiotherapist or physical therapist must include:

  • The number of sessions recommended

  • How often the sessions will take place

  • The types of treatment you’ll receive

3. Cost estimate

A cost estimate from your physiotherapist or physical therapist must include:

  • The estimated cost per session

Completing the process

Step 1: Visit an orthopaedic specialist or treating physician

Ask your doctor for your medical report and a medical order/prescription for physical therapy. This initial doctor visit does not require pre-approval.

Step 2: Attend your first physiotherapy appointment

Bring your medical order/prescription and ask the physiotherapist for their treatment plan, recommended number of sessions, and cost estimate.

This first physiotherapy visit does not require pre-approval and may include your first treatment.

Pay for your initial visit(s) yourself, either out of pocket or with your SafetyWing card. Then submit a reimbursement claim through your SafetyWing dashboard, where it will be assessed by our claims team.

You have up to 180 days from each appointment date to submit a reimbursement claim through your SafetyWing dashboard.

Step 3: Submit your pre-approval or direct billing request

Pre-approval can take up to 7 business days, so make sure you submit your request with at least that much time ahead of your next appointment. This gives our medical team enough time to review your request and, if applicable, work with your provider to arrange direct billing.

To submit your request:

  1. Click the “Pre-approval or direct billing” button on your SafetyWing dashboard

  2. Complete the request form

  3. Attach all required documents listed above

  4. Submit your request for review

Step 4: Wait for approval

Our team will keep you updated by email throughout the review process.

Once you receive confirmation that your treatment has been pre-approved, you can go ahead with your sessions.

If you requested direct billing, our medical team will work with your provider to arrange this.

If direct billing cannot be arranged, you can pay for your treatment yourself and submit a reimbursement claim through your SafetyWing dashboard after each appointment.

❗ Please note: Physical therapy received without pre-approval may result in a 30% reduction in the eligible reimbursement amount.

The initial doctor and physiotherapy visits described above do not require pre-approval.
