How to import a search list containing 2500+ leads

Written by Support

Overview

LinkedIn Sales Navigator only lets you view and export the first 2,500 leads from any single search, no matter how many total results it returns. Because Salesflow imports leads directly from your search results, it inherits this same 2,500-lead limit per search - not a limit on your account or campaign.

The good news: Salesflow itself has no cap on how many leads you can import in total. If your search has more than 2,500 results, you just need to split it into smaller searches first, then import each one separately.

The fix: split your search, then import each part

Step 1: Narrow your search until each result is under 2,500 leads

Add or adjust filters in Sales Navigator so each version of your search returns fewer than 2,500 results. The easiest filter to split by is usually Geography (e.g., city or region), but you can use any filter - company size, industry, seniority, etc. - as long as the rest of your criteria stay the same across each version.

Example: Instead of one search for "Marketing Managers in the United States" (12,000 results), create several narrower searches:

  • Marketing Managers in New York (900 results)

  • Marketing Managers in Los Angeles (750 results)

  • Marketing Managers in Chicago (600 results)

  • ...and so on, until you've covered the full list with no group exceeding 2,500.

Step 2: Save each search

Save every version of the search in Sales Navigator so you can find and import it later.

Step 3: Import each saved search into Salesflow one at a time

Go to Salesflow and import each saved search individually into your campaign. Since Salesflow has no import limit, you can repeat this for as many segments as you need and the leads will all land in the same campaign.

You aren't limited to splitting by Geography. You can split by any single filter - for example, keep Geography and Industry fixed and split by Company Size instead - as long as each search stays under 2,500 leads.
