Every teammate in your Scale Dashboard has a role. Roles let you share the work of running a headshot program, like reviewing submissions, without giving everyone access to billing or account settings.
The five roles
Owner: full access, including billing and team management.
Admin: manages everything except teammates and API tokens.
Developer: manages everything except billing and teammates. A good fit for whoever connects the API or webhooks.
Approver: reviews and approves submissions. Approvers can accept, reject and request retakes, and can view contacts and studios without changing them.
Viewer: read-only access to submissions, contacts and studios.
Which role should I pick?
A manager or HR partner who only needs to approve photos: Approver
Someone who needs to see progress but shouldn't change anything: Viewer
An IT or engineering contact setting up an integration: Developer
A co-lead who runs studios day to day: Admin
Someone who also handles billing and the team: Owner
Invite a team member
Click Account Settings in the bottom-left corner of the sidebar.
Open the Team Settings tab and click Add User.
Enter their email address and pick a role from the Role menu. A short description under the menu shows what that role can do.
Click Invite. They'll get an email to join your team.
Team management is part of the Owner role, so Owners handle invites and role changes.
What is the Custom role?
If you used Scale before roles were introduced, some teammates may show a Custom role. It keeps the access they had before. We recommend switching them to one of the five standard roles so it's clear what each person can do.
Seeing a permission message?
If a teammate tries something their role doesn't allow, they'll see a message explaining why. An Owner can change their role from Team Settings if they need more access.
