Connecting BambooHR

The BambooHR integration keeps your contact list in step with your HR system. It
brings your people in as contacts, can invite new hires automatically around their
start date, and writes approved headshots back onto employee profiles in BambooHR.

Before you start

You'll need:

  • A studio
The integration syncs people into one studio, so create one first if
    you haven't.

  • Owner, Admin, or Developer access

  • A BambooHR user with full admin access.
The connection acts on behalf of whoever approves it, so that account needs to be able to read employee data, manage webhooks, and update employee photos.
    roster.

  • Your BambooHR domain
The part before .bamboohr.com in the address you use to log in. If you sign in at acme.bamboohr.com, your domain is acme.

Connect

  1. Go to Account → Integrations → BambooHR.

  2. Enter your BambooHR domain, and pick the studio the employees should sync
    into.

  3. Click Connect, then sign in to BambooHR and approve the access request.

  4. Choose who to sync:

    • Sync employees — regular employees become contacts in that studio.

    • Sync contractors — also includes people marked in BambooHR as contractors,
      temps, interns, or seasonal workers.

  5. Choose other options, including Import from BambooHR and Send approved headshots to BambooHR.

You'll return to the integration page, and the import—if you asked for one—runs in the background.

The domain and the studio are fixed once you're connected. To change either one,
disconnect and connect again.

What syncs, and when

Each person who syncs becomes a contact with their personal email as the primary
address
and their work email as the secondary. If they only have a work email, that
becomes the primary. Someone with no email address at all can't be imported — we have no way to invite them.

If a contact with a matching email already exists in the studio, it's linked to the
BambooHR record rather than duplicated. After the first import, changes in BambooHR arrive as they happen — new hires, name and email changes, status changes, and departures all flow through automatically.

When someone is terminated, their contact is marked inactive: it stays in your studio,
along with their headshot history, but they won't be invited or chased for photos
again. If they're rehired, they come back automatically.

Invitations

Turn on Auto-invite contacts and new hires are invited to your studio on their own.
Under When to invite, pick how far ahead of someone's start date the invitation
should go out — on the hire date itself, the day before, or 3, 7, 14 or 30 days ahead.

Sending headshots back to BambooHR

With Send approved headshots to BambooHR turned on, approving someone's headshot also sets it as their BambooHR profile photo. Under Headshot style, choose which style gets sent. Leave it on the default, and your studio's current style is sent.

If you change the style later, existing profile photos in BambooHR don't change on
their own. Use Push headshots to resend everyone's current approved headshot. It affects every synced, active employee with an approved headshot at once.

Manually importing people

Import contacts → Import now pulls the latest people from BambooHR into your
contacts. Use it when you want to catch up immediately, or after changing who you sync. An import never sends invitations.

When it finishes, you'll see a summary of what happened: how many contacts were added, updated, marked as no longer in BambooHR, and how many were skipped. Click through for the list of who was skipped and why (almost always a missing email address in BambooHR). Dismiss the summary when you've read it; the next import brings a fresh one.

Disconnecting

Disconnecting BambooHR stops all syncing. Contacts, sessions, and headshots already in your studio are kept—they simply stop updating from BambooHR, and no further headshots are sent back. Reconnecting starts the sync again.
