Adding Employees

Just like in the case of Supervisors, Employees can be added either on an individual basis (manually) or through a CSV upload.

Before continuing, make sure that there are existing Groups and Teams

To manually add an Employee, please follow these steps:

  • Navigate to the Staff tab, click on Employees, and then click on "Add Employee".

Once clicking on "Add Employee", a profile window will be displayed as per the picture below. Be aware of *mandatory fields.

  • *Enter user First Name & Last name

  • *Enter E-mail address (must be a valid email account as an email invitation will be sent to validate the user's account, as well as password reminders) or Username if E-mail is not available.

  • *Assign the user to respective Group(s). Once a group is selected, the system will then display a list of related Teams.

  • *Assign the user to the respective Team (s)

    • Employees can be assigned to multiple Groups and multiple Teams.

  • Assign a Supervisor

  • If required, select "Employment" type from the dropdown

  • If required, enter "External ID" (Alphanumeric field)

  • Click "Submit" to complete the process

After the account is successfully created, the new user will be added to the Employees list.

As a final step, click on OFF to activate the account, which will then automatically trigger the invitation email to the new user.

Staff Upload

Employees can be added more efficiently to the Scorebuddy platform by uploading a CSV file with their details (Staff > Employees > Upload Staff).

Before continuing, make sure that Groups and Teams were previously created, as you will need the respective IDs to proceed with the uploading. You will see where to get the Group/Team Id's as per the below image.

To upload/import Employees, please follow these steps:

  • Navigate to the Staff tab, click on "Employees"

  • Click on "Upload Staff" at the top right corner.

The "Staff Uploader" page will be presented

There are two upload modes: the Standard Mode and the Advanced Mode.

  • The "Standard" option will allow you to assign Employees to their Groups and Teams

  • The "Advanced" option allows Group and Team assignment and also enables extra functionalities such as assigning a Supervisor, Self Score, etc.

Irrespective of the mode selected, we recommend clicking on the β€˜Download Sample CSV' button shown in the image below so you can see how your CSV is to be formatted.

In the CSV file, the Group and Team are identified by their Group ID and Team ID, not by their name. The Group/Team IDs can be found in Staff - Groups and Staff - Teams, above the Group or Team name.

Note:

Pay particular attention to the last column of the CSV before uploading it. The entry for the Action column (the last one in the CSV) should be 'Add' and not 'Ignore' otherwise the upload will not be submitted.

After completing your CSV file, we recommend the following steps:

  • Step 1: After double-checking that the CSV file is correct and accurate, you can click on 'Browse' or just drag and drop the file for upload

  • Step 2: and then select the button 'Upload CSV file'.

  • Last step: A confirmation message will let you know if all rows were accepted or not. It may take up to 5 mins for all Employees to be added to the platform.
