How to Assign Seats

In ScribbleVet, a practice account administrator can assign seats to veterinarians from the Seats tab in Practice settings. New veterinarians start as Guests with a 14-day free trial; once the trial ends, they need an assigned seat to continue using ScribbleVet.


Before you begin

  • You must be a practice account administrator to assign seats.

  • Your practice must have an active Unleashed subscription with available seats. If you need to add more seats first, see Add or Remove Seats in ScribbleVet.

  • Seat management is only available at web.scribblevet.com/settings/practice#seats —not on mobile.


Assign a seat to a veterinarian

  1. Click the gear icon ⚙️ at the top right to open Settings.

  2. Select Practice.

  3. Click the Seats tab. The Assigned area shows Full-time and Part-time seats currently in use. The Unassigned panel on the right lists veterinarians who don't yet have a seat.

  4. In the Unassigned panel, click the + button next to the veterinarian's name to assign them an available seat.

    • If the + button is not clickable, verify the following:

      • You are an administrator.

      • You are using a computer (not a mobile device).

      • There is an available seat to assign.

  5. The veterinarian moves into the Assigned area and has full access immediately.

Tip: To add a new veterinarian who isn't on your team yet, click + Invite in the Unassigned panel to invite them first, then assign them a seat.


Frequently asked questions

What's the difference between the People tab and the Seats tab?

The People tab shows all users and their roles. The Seats tab is where admins manage the seat pool and assignments for veterinarians specifically.

What happens if there are no available seats?

You'll need to add more seats before you can assign one. Go to Settings → Practice → Seats → Add or remove seats. Specifically, you may need to increase the part-time seat count if assigning a seat to a relief veterinarian.

What does the 'trial expired' message mean for relief or guest veterinarians?

If a relief or guest veterinarian sees a 'trial expired' message, it means they are still a Guest and need an assigned seat. To resolve this, go to Settings → Practice → Seats, and click the + button next to their name in the Unassigned panel. Ensure there is an available seat and that you are using the web app.

What if my subscription shows as expired after a payment failure? If your subscription shows as expired despite a recent payment attempt, it typically indicates that the payment did not go through. Verify that your payment method is up-to-date and has sufficient funds. Retry the payment through the app or contact your payment provider if the issue persists. A prorated charge will apply for the remainder of the billing cycle when adding more seats.
