Submitting a Pre-approval request in MyFunds

Pre-approval eliminates the guesswork to making a successful MyFunds Claim.

Note: Pre-approval requests need to be submitted before your marketing activity appears in-market.

So you’re getting ready to create a marketing initiative that you will claim on your co-operative fund program. Great work! Here's how to submit a Pre-approval request for that initiative.

  1. Click on the MyFunds tab on your Sesimi home page.

  2. Select the Fund you will be making a claim against.

  3. Click on the Pre-approval tab , then the Request Approval button.


  4. In the Pre-approval Request window that opens up, select your Branch/Department/Dealership.

  5. Select the Fund period you’ll be claiming within.

  6. Select the relevant Fund Initiative (there can be more than one initiative within a Fund - each may have different requirements). This will reveal the details of the fund initiative you've selected, including information such as the reimbursement rate you can expect to receive.

  7. Enter the Number of Claims you will be using your Pre-approval for. For instance, if you're doing a quarterly campaign, then you would need to enter the number 4. The system will then allow you to make 4 Claims using this one Pre-approval request. Note: Number must be at least 1.

  8. Create a Title for your Pre-approval request. This title will be used later in the Claims process, so a clear title like 'New Year Social Campaign' helps you easily identify your campaign later.

  9. Enter Details of your marketing activity – this needs to answer/cover off the requirements shown in Step 6 above.

  10. Enter your email or phone number. Occasionally a Reviewer may need to contact you about your Pre-approval request.

  11. Upload supporting documents for your marketing activity, such as:

    1. initial concepts

    2. assets from Sesimi platform

    3. media quote/plan

  12. Click on Submit and your request for Pre-approval will be submitted for review.

  13. This will return you to the Pre-approval request window where you will see your finalised request with a status of Pending.

Once your request has been reviewed, you will be notified by email about the decision. It will either be Approved, Declined or will require Revision.

Approved means you can go ahead and place your marketing activity. Once it has appeared, you can then Make a Claim.

If your request is Declined, you will not be able to make a Claim. You can click on the link in the email you receive to return to the system to see why your request was declined.

If a Revision is required, you can click on the link in the email you receive to return to the system to see what needs to be revised and re-uploaded.

Note: A Reviewer may set a deadline for a revision which will be shown in your email notification. Make sure you revise material before the deadline expires.
