šŸ›”ļø Keeping Your sheepCRM Account Secure – A Reminder for All Customers

We’re sharing a friendly reminder about account security following a number of recent incidents where customers have experienced security breaches. While these issues were NOT related to sheepCRM, our team was happy to step in with guidance and support. Each incident has cost these organisations time, money and impact to their customers (thankfully not seriously), but could have been avoided if the recommendations below had been followed.

It’s a timely reminder that security is a shared responsibility. At sheepCRM, we maintain robust systems and processes to keep your data safe. But it’s just as important that your team follows best practices when using sheepCRM and managing your wider digital environment (websites, servers, 3rd party software, etc…).

āœ… What We’re Doing

We take your security seriously. Our infrastructure and policies follow best practices to keep your data protected. For example:

  • sheepCRM account passwords are hashed. Our own staff can’t even view them. If you lose your password, it can’t be retrieved—it must be reset.

  • All information is transferred securely using 256-bit HTTPS, just like online banking applications. The database storage and backups are encrypted at rest.

šŸ” What You Can Do

Here are some key steps to help strengthen your organisation’s security:

  • Use strong, unique passwords and update them regularly

  • Instruct your team to use two-factor authentication (2FA) - (requires mobile phone to receive the codes) - User Instructions here

  • Ensure your user / staff leaving process includes removal of user permissions or deleted user accounts

  • Avoid user accounts being shared by multiple people

  • Have clear policies and user steps for accessing and logging out of systems

  • Be alert to phishing emails and suspicious login attempts

Regular reviews and proactive habits go a long way in protecting your data.
