Segments: Manage & Using Segments

Segments are fully customisable 'collections' of contacts or other resources which are dynamically filtered based on saved rules.

What are Segments?

Segments provide a flexible way to group and sort your data records. At its core, a segment is a set of rules or criteria that automatically sort and group (past, present and future) data records. This can range from a simple check for 'active' members, to complex sets of rules that allow you to target specific demographics in specific teams or groups.

How do I Create a New Segment?

How do I View an Existing Segment?

From alpine sheepCRM, click on the segments option in the top navigation to view all the segments that have been created for your flock.

You can switch between different types of segments by using the left-hand navigation, or use the all option, within the drop down to see every segment you currently have.

Click on a segment to view the data contained inside it.

How do I Edit an Existing Segment?

Please note you will need appropriate user access levels to be able to do this.

For more information on how to set user permissions please see Settings: Users.

From alpine sheepCRM, click on the segments option in the top navigation to view all the segments that have been created for your flock.

From the existing segments list, scroll down to the desired segment and select by clicking the name or use the search bar.

This will take you to the following page where you will see the data rules set for the segment and just below from the folder icons, select your desired data choice.

In the top right hand corner hit the ⚙️settings icon to edit the segment settings.

If the segment you're attempting to adjust is a system-defined segment you cannot directly edit. System segments are predefined sets of data/records generated by the system to address general needs.

You can create a similar segment based on this system segment by duplicating it, which is referred to as 'cloning.' Once you've created this clone, you're free to modify it to suit your specific needs.

If you're unsure of how to clone a segment or set specific rules please see here for Segments: Creating Segments. Following these steps for creating a new segment with the details from the system segment as a guide will emulate cloning that segment.

Please ensure you copy the rules from the original system segment that you want to use in your own. Once you've set up your clone segment, you can modify it as you wish.

Segment Actions - How do I take actions with the data or records in the segment?

The actions button will show you the available actions supported. We are regularly adding new actions which will be announced when released in the regular updates.

How do I Export Data to Excel from a Segment?

You can export to a pre-defined set of columns that are available for the type of records in your segment.

How do I export address labels?

Select Export to PDF and select address labels from the options presented.

Select your label sheet type from the list and export to create a single PDF with all letters included.

How do I export PDF letters?

Select Export to PDF and select custom PDF from the options presented.

You will need a PDF template set up in your templates settings to enable this so you can select what one you require for the task you are performing.

Select your template and export to create a single PDF with all letters included.

How do I export Membership Certificates?

Select Export to PDF and select Membership Certificate from the options presented.

Export this to create a single PDF with all certificates included.

The request for any of these exports will be sent for processing.

You will receive a notification when your export is ready via the Bell icon in the top right corner of your navigation bar.

This notification will update automatically but you can refresh also to get an instant update on the status of your request in the notification.

How do I send an Email, sheepApp Notification or SMS to a Segment?

From the existing segments list, scroll down or use the search bar, and select the segment's name.

Select Actions > Send Email/SMS to Segment

A new window will appear and the details of the communication require completion by you as per your preference.

From the 'Type of Message' drop down, options available are Email, sheepApp Notification and SMS.

Select and input desired information based on the fields associated with the communication type.

Toggle the GDPR permissions accordingly.

Select Save and Preview.

How to select an email address when sending an email?

Once you have added additional email sender addresses and if you have the correct permissions as a user, you can then select those email addresses when sending email from the system.

There are a few places where you can send email as a user.

  • From a Contact record via messages

  • From a Segment via the action email segment

  • From the Segment Directory

  • From a Team via the email contacts button

In the below example, we are sending an email from a contact record, but it will be true for each of the other examples as well. As you can see there is a new field there which depending on the sending options and your permission will allow you to select a different email other than the flocks default one. ​Each time you send an email you can choose to select a different one from the options.

How do I Sync a Segment with Mailchimp?

From the existing segments list, scroll down or use the search bar, and select the segment's name.

Select Actions > Sync Segment with Mailchimp

A new window will appear with the Mailchimp Segment Name to be completed by you to help identify this Segment within your Mailchimp Account.

Select Sync.

You will receive a notification when your Mailchimp sync is ready via the Bell icon in the top right corner of your navigation bar.

How do I Customise the Data I want to see within a Segment?

From the existing segments list, scroll down or use the search bar, and select the name of the segment.

You can select the ⚙️ to open the settings for that segment so you can make immediate changes and then check your results.
