How do I navigate to sheepCRM Deferred Revenue Report?

Go to core.sheepcrm.com and log in to your CRM User account, if not already.

Select Reports tab from the top navigation bar

Select Finance tab from options below the navigation bar

Select from Last/This/Next Year

What Is a Deferred Revenue Report?

This report will show a summary of the advance membership payments expected in a specific timeframe. These payments will be grouped into currencies to help manage international memberships.

The deferred revenue report is based on the cost amounts within each membership record, equally split over the duration of those membership records set by the start and end dates. This cost is the revenue you expect for those membership plans. Payments received for those memberships have no impact on this report.

Deferred revenue is a liability because it reflects revenue that has not been earned and represents products or services that are owed to a customer. As the product or service is delivered over time, it is recognised proportionally as revenue on the income statement.

  • This report provides data based on your set financial year start.

    This can be set and/or changed in Settings.

  • Amounts used in the report are based on the price of membership records and not payment records.

  • Earned and Deferred are based on the current data when the report was run.

  • Amounts regarding cancelled memberships are not included.

  • Only amounts regarding memberships are included.

  • The calculation is accrual-based, not cash-based.

What data does the Deferred Revenue Report include?

Within this report the data includes, but is not limited to, grouped by the date you select together with the appropriate currency, the following field headings:

Count, Earned Past, Earned 2023, Deferred 2023, Deferred Future, Total.

This data can be exported as an XLS file.

Why do the figures in my Monthly Deferred Revenue Report not match the figures on my Annual Deferred Revenue Report?

These figures are calculated differently when viewed in the monthly vs annual report because the monthly report simplifies by working with whole months and the annual report works with daily granularity, dividing the membership fee by the number of days within the membership.

The monthly report works at monthly granularity so that all months show an equal amount. For example, if a £49 membership starts on September 10th 2023 then £4.08 (49/12) will be allocated to September 2023 although it wasn't a full month, nothing will be allocated to September 2024 although the membership will be active for 10 days in that month.
