Account Settings Overview ✔

Review the account settings available to admins across company, jobs, scheduling, invoicing, payments, and more.

Account Settings is where you tailor SingleOps to the way your business actually runs — how jobs are entered, when invoices sync, what your customers see on a proposal, and dozens of smaller defaults that save your team clicks every day. This article walks through every setting, grouped by the same tabs you'll see in the product, so you can match what's on your screen to what it does.

How to read the recommendations: Where we have a recommended setting for most tree care businesses, you'll find it in the Our Recommendation column. A dash (—) means there's no one-size-fits-all answer — the right choice depends on your workflow. When a setting touches your accounting, we'll point you to review it with your QuickBooks admin rather than guess.

Name

Your SingleOps account name.

Inc Name

Your company name as it appears on SingleOps documents, emails, etc.

SingleOps Email

For deliverability, emails from SingleOps send from a singleops.com domain. Your emails carry the correct reply-to for the sending user; for clients that use "from" instead of "reply-to," your mail.singleops.com address forwards to your custom contact email. Example — Company: Kelly's Tree Care → SingleOps Email field: KellysTreeCare.

Customer Contact Email

The backup address for customer replies. If a customer emails your SingleOps email, the reply is directed here. Can be added to Document Templates as a general contact email.

Doc Email

Email address that appears on SingleOps documents.

Doc Phone

Company primary phone number that appears on SingleOps documents.

Doc Fax

Company primary fax number that appears on SingleOps documents.

Doc Website Display

Clickable text on SingleOps documents; the link points to the Doc Website URL below. Example: KellysTreeCare.com

Doc Website URL

The URL linked to the Doc Website Display text above.

Customer Portal

URL to your SingleOps portal, which you can add to your website for lead intake. Learn more.

Doc addr line 1

Company street address for SingleOps documents (e.g., 123 Street Ln).

Doc addr line 2

Company city, state, ZIP for SingleOps documents (e.g., Atlanta, GA 12345).

Doc HTML color theme

Hex code that sets the color of URLs on SingleOps documents (e.g., #06680B).

Proposal Acceptance Text

Text shown to your customer after they accept a proposal.

Financing Intro Text

If financing is enabled, text shown to your customer. Learn more about financing.

Autopay Prompt Text

If autopay is enabled, text shown to your customer. Learn more about autopay.

Attach Logo

Upload the company logo for SingleOps documents. PNG or JPEG.

Attach Document Footer Images

Upload footer images for documents (typically certifications, BBB, etc.). PNG or JPEG.

Use Percent Pricing

Controls how job costing displays. Unchecked shows a dollar markup (Cost $5 + Markup $10 = Price $15). Checked shows a percent margin (Cost $5, Margin 10% = Price $5.50).

Default Terms

Default terms used on all jobs.

Default Tax Location

Default tax location used on all jobs.

Account Owner

The highest permission level in SingleOps. Account Owners can add/remove user licenses, update your subscription payment method, and receive the weekly Account Summary email.

Require a job category?

Always require the user to select a job category when creating a new job.

Only sync clients when also syncing an invoice?

Only sync new client info to QuickBooks when an invoice syncs for that client. Keeps your QuickBooks file cleaner.

Auto-assign new tasks to the user creating them (on jobs or directly on the calendar).

Yes, if the estimator also takes in/schedules leads

How many days before proposal expires?

Days a proposal stays active from its last update before it's automatically rejected.

Depends on your work's lifecycle — design/build installs need a longer window than maintenance.

Assign new jobs to user?

Auto-assign new jobs to the user creating them.

Enable pickup jobs

For jobs where the customer picks up at a single location (like retail sales). Makes entry easier and removes them from the route planner.

Yes if you have a retail pickup space; typically yes for sod and synthetic turf

Assign tasks to the last job created?

Auto-assign new tasks to the last job created by your user. Helpful for on-site sales visits and estimates.

No

Require all jobs to be scheduled when created?

Always require scheduling when a job is first entered. If enabled and you unschedule a visit via the route planner, the visit stays scheduled on the previously selected day.

No

Require 3rd party contacts for new jobs?

Require at least one 3rd-party contact on new jobs. Applies only when contacts exist for the selected customer.

Enable support for 'Last Name, First Name'?

Enter customer names as Last, First; SingleOps assigns names in that format.

Review with your QuickBooks admin before connecting QuickBooks

How many days until a lead is stale?

We'll remind you when a lead hasn't converted to a proposal after this many days.

Line Item Identifier

Identifier for line items on job entry — None, Alphabetic, or Numeric.

Does a job entry require a tax location?

Makes the tax location dropdown required on job creation.

Default Job Name?

How the job name defaults on entry: Client Billing (billing address), Visit Location (visit address), Company Name, or Client Name.

Visit Location is the most common default

Should clients sign to accept proposal?

When clients accept from the proposal page, require a signature. If not, they confirm Terms & Conditions with a click.

Yes

Require clients to type to sign proposal?

When signing a public proposal, require clients to type their signature.

Can users create taxed all-in jobs?

All-in taxed jobs absorb sales tax as lost revenue rather than passing it to the customer. (No effect on QuickBooks Online–connected accounts.)

Create a task by default when a new lead is entered.

On Site Estimate

Should the task created with lead be on site by default?

The auto-created lead task is marked on-site by default (can be removed case by case).

Use the job's name for shipping address 1

When syncing to QuickBooks, use the job's name for shipping address line 1 on invoices.

Enables paying invoices via the EMV point-of-sale interface. Requires a configured payment gateway and SingleOps support — do not attempt to connect on your own.

Track Last Service Date for Line Items

Tracks the last date a service was performed for a line item (including on the job or renewed job) to prevent applying a treatment too frequently.

Hide line-level subcontracted flag?

Hides the subcontracted flag at the line-item level. Use if your item defaults are always correct and you want to hide this from operators.

Hides unit costs and margins, showing only prices. "Jobs and Visits only" limits hiding to viewing/editing of jobs and visits.

Enable Estimated Revenue Visits Entry?

Allows manually entering an estimated number of revenue-generating visits on fixed-invoicing jobs; SingleOps then estimates revenue across those visits.

Enable Proposal Groups

Group proposals together to present as one proposal.

Jobs requiring deposits should be on-hold by default

Jobs requiring a deposit won't continue until the deposit is made. (Contact SingleOps Support if you don't see this setting.)

Default Deposit %

Percentage of the total price to collect before the job starts. (Contact SingleOps Support if you don't see this setting.)

Property Measurement Custom Inputs

Select which job-level custom inputs are available for measurement data. Learn more.

Enable Pricing Operation

Adds a Pricing Operation field on job entry for quantity-based pricing in place of the main Operation field.

Sets whether Job Management defaults to the Visit or Job view.

Show internal notes to crew users?

Amount of time represented by each column on the week view for resources (in hours)?

Controls the time scale of the resource week view calendar. In other words, it sets how many hours each column represents when you are looking at the weekly resource schedule in SingleOps.

So:

  • if it is 1, each column represents 1 hour

  • if it is 2, each column represents 2 hours

Additional Information on Visits

Extra information shown for visits on the calendar.

On the route planner, show the days since the last visit instead of item-based icons

Displays the number of days since the last visit for a job/job series.

Yes — especially for PHC, fertilization, IPM, etc.

Show the estimated time on the My Day and route page?

Shows estimated labor hours. With no one clocked in, shows total estimated labor hours; once a crew clocks in, shows crew hours (total labor hours ÷ labor resources on the crew).

Hide the scheduled time on the My Day and route page?

It simply hides the scheduled start/stop time display for jobs on the My Day page and the Route page.

So in plain terms:

  • Yes / enabled = users will not see the scheduled time shown there

  • No / disabled = users will see the scheduled start/stop times

Automatically clock in/out and split open events?

Auto clocks out crew users at midnight and back in at 12:01 the next day, splitting open events. Typically for overnight snow crews.

Yes, if you provide overnight snow services and use SingleOps timesheets

Rescheduling Work Week

Which days of the week are included when using batch reschedule.

Display Holidays on Calendar

The region whose holidays display on the calendar.

Invoice lead days?

For fixed recurring and CMB invoices, how many days before the invoice date they're created and synced to QuickBooks.

Default Invoice Date

Default invoice date for one-off jobs: Visit Completion Date, Job Creation Date, or Work Start Date. Applies only to per-visit invoices on one-off jobs; CMBs, RUPs, and per-visit recurring jobs keep the existing invoice-date logic.

Require an invoice date when approving a job.

Auto-sync invoices and payments to QB?

Automatically sync invoices and payments to QuickBooks when a payment is registered.

When Auto Sync is turned off, invoices and their associated payment will not automatically sync to QuickBooks until the associated visit reaches the Approved stage.

Remember, you can always manually sync when needed.

Who should we email when a customer pays an invoice via credit card?

Recipients auto-emailed a receipt confirmation when a customer pays an invoice. Separate multiple addresses with commas or semicolons.
