Clients & Contacts ✔

Create clients and contacts, add contacts to jobs and proposal groups, and manage your client list and profiles.

In SingleOps, a client is the customer you do work for, and a contact is an additional person tied to that client — a spouse, a property manager, a billing department — who may need their own visibility into proposals and invoices. This article walks through creating clients and contacts, adding contacts to jobs and proposal groups, and managing your client list and profiles.

💡Good to know: A client can have any number of contacts but only one billing address, and SingleOps doesn't allow duplicate client names.

In this article:

Create a New Client

To create a new client:

  1. Navigate to: mceclip0.png Clients > New Client or select Add New Customer while creating a new Job

  2. On the General tab, complete the client's general info (see details on table below)

  3. Click the Advanced tab and complete the fields as needed (see details on table below)

  4. Continue with the steps in Create a Contact to add a client contact using the Contacts tab

General Tab

Default Terms

Default Terms are only needed if the individual Client has different Terms that will need to override the Account’s Default Terms set on the Company Information page.

Don't Save Credit Card Info

Check the box to not offer to save credit card aliases for this Client.

Autopay

From the dropdown, select Enable or Disable Autopay for this Client.

Customer Types

Choose a Customer Type. You can find more information on Customer Types here.

Skip QuickBooks Syncing

By default, Jobs created for this Client will not sync invoices to QuickBooks. This can be overridden on the Job.

Notice?

Should a notice be displayed when selecting this Client on Job entry and with what level of severity?

Tags

Tags are used on the Client level set default Tags on every Job created for this Client

Advanced Tab

Display Name

The only required field, which will auto populate based on data entered in the First & Last Name fields.

Email Address & Mobile Phone Number

It is best practice to provide an email address & mobile phone number for each Client, if available. Filling in these fields will allow you to communicate with your customers using your account's Email & Text Messaging features.


Note: Only one email should be in that data field. If there is more than one email, the client cannot access the Client Portal. The system does not know which email to reference.


Create a Contact

A spouse, partner, property manager, billing department, etc. can be added to Clients as Contacts in SingleOps

  1. While creating (or editing) a Client, navigate to the Contacts tab

  2. Select + Add Contact to add additional points of contact to this Client (e.g., a spouse or property manager, etc.)

  3. The Contact Form allows you to enter the Contact's name, type of contact, phone, and email. If you would like this contact to have access to the client portal where they can view all open proposals and invoices for the client, check the box in that column. You can also add custom inputs on the contact form to collect additional information. Fill out all info as needed.

  4. Select Create Client

Additional Notes

  • SingleOps does not support duplicate Client Names

  • A Client can only have one Billing Address

  • To organize Clients by Last Name, First Name, navigate to:

    Setup > Account Settings, search Last Name, and set Enable support for 'Last Name, First Name'? to Yes. SingleOps will then auto-populate the Display Name in Last Name, First Name order.

    ⚠️ Only Admin users can access Account Settings. If you sync with QuickBooks, review this change with your QuickBooks Admin first, as it affects how Client names sync.

  • By default, new Clients sync to QuickBooks with their first SingleOps Invoice. To change this, navigate to: Setup > Account Settings, search Only sync clients, and adjust Only sync clients when also syncing an invoice? Set to Yes to hold new Clients until an invoice syncs (keeps your QuickBooks file cleaner); set to No to sync new Clients sooner.​

    ⚠️ Only Admin users can access Account Settings. Review with your QuickBooks Admin before changing


Add Contacts to Jobs & Proposal Groups

🛑 To add a contact to a Job or Proposal Group, you must complete the steps in the Create a Contact section above.

Add Contacts to a Job

  1. Create or Edit a Job

  2. Under Additional Options, add a Primary Contact to the job (next to Contacts on the right). Doing so will also add that contact to the Client's profile.

Add Contacts to a Proposal Group

  1. Create or Edit a Proposal Group

  2. At the top of the right hand side of the screen drop down and select the contacts


Clients List

Navigate to: Clients > All Clients

⚠️ Only an Account Owner can export from the Clients page via the blue Export Clients button, which will deliver an emailed CSV of the full Client list. The blue Export All Contacts option produces a CSV with a full Contact list. If you are not an Account Owner, you will not see this functionality.

  • On the Client list, you can use the Columns dropdown list to add/subtract columns to show different information

  • From the Cleints page, you can also:

    • Create a New Client.

    • Filter list by Sales Rep, Inactive Jobs and On-Hold Jobs.

    • You can Edit or Deactivate a client from here as well.


Clients Page

  • The Client Page displays all of the Client's Information.

  • Each Tab displays information associated to each tab name.

  • Filters and Columns can be added to display specific information under each tab.

  • Access Tree Inventory from Client page

(+ Add Comment): this button can be found under the Comments tab or at the right hand corner of this page. This allows you to add any notes about this client and will appear under NOTES after clicking Create Comment. These notes are NOT visible to the Client.

(Add ˅): located in the top right corner of the client page will allow you to Add a Lead, Proposal or Active Job to the existing client. By selecting Use Template, this will drop down multiple Job Templates to choose from. You can create a Proposal or Active job with these templates.
