Get started with the QuickBooks integration by configuring sales tax, payments, income accounts, and the connection.

This article walks you through setting up the SingleOps integration with QuickBooks Online (QBO) or QuickBooks Desktop (QBD). Complete each step in order before you start syncing invoices and payments.

🛑 If your SingleOps account is already live (out of Implementation), contact SingleOps before connecting QuickBooks.


What should I set up in QuickBooks before connecting to SingleOps?

  1. Sales tax: Set up your sales tax rates in QuickBooks first. Sales tax does not sync from SingleOps into QuickBooks, so your rates must exist in QuickBooks. See Sales Tax Configuration.

  2. Income accounts on items: Every item (product or service) must be linked to an income account from your QuickBooks Chart of Accounts. Invoices will not sync if an item is missing an income account.
    ​

  3. Deposits and prepay (if used):

    1. In your Chart of Accounts, create an account such as Customer Deposits. The Account Type must be Other Current Liabilities. Deposits and prepayments will not sync correctly with any other account type.

    2. Create a service item in Products and Services and link it to that Other Current Liabilities account.

💡 QBO: Essentials or higher is recommended. Operations in SingleOps sync to QuickBooks Classes, which require QuickBooks Online Plus or higher.


How do I connect SingleOps to QuickBooks?

You will need Admin access to your QuickBooks company file.

After connecting, review your sync preferences and general ledger settings on the QuickBooks Settings Page. If you use deposits or prepay, select your Other Current Liabilities service item as the Deposit Item or Prepay Item under General Ledger Settings.
