An Item Group is a collection of Items, prebuilt for quick addition to a Job. When estimating, you may find yourself frequently using the same group of Items. For example, you know when planting a tree, it will take two men two hours each, the use of a backhoe, the tree itself, and follow up mulch, fertilizer, and tie offs. Rather than having to manually list each of these Items every time you estimate this service, you can save time & enter the task as an Item Group.

Item Groups Benefits
Item Groups allow you to:
Save time when creating Jobs with commonly-grouped Items
Build job costing into each Job
Easily determine which Items are visible to a Client or to your team
Create an Item Group
Navigate to:
Setup > Items > Item Groups
Select New Item Group to create a group, or select an existing Item Group name and then select Edit to make changes.
Fill out Item Group information and check the appropriate boxes. (See section: Item Group examples, below)
Name & Description | Enter a name for the group (required) & any description to help identify or explain the purpose and/or contents of the group (optional). |
Active | Check Active if you plan to use the group immediately (you may leave the box unchecked for now if you wish to create the group as a 'draft' & activate it later)
|
Invoice as Group | Check Invoice as Group if you want the group to appear on Proposals and Invoices as a single Line Item. The Item Group name and description will appear on customer facing documents, and the included Items will appear on Work Orders and be visible to Crew Users but not on Proposals or Invoices. |
Ratio Locked | Check Ratio Locked if you want the Items in the group to scale together whenever the quantity of the group changes. This is a group level setting, separate from the Fixed checkbox on an individual Item row (see step 5 below). You can override the ratio lock at the time of Job or Proposal creation if needed. |
4. Select Add Item to begin adding Items to your group
5. Enter the Items via the dropdown & complete the Item details
QUANTITY | Enter the quantity of the Item needed for this group & check the box if the quantity of the Item is to remain Fixed (think of this as a 'lock aspect ratio' if you were increasing the size of a photo, i.e., changing the quantity of Item Groups will increase the number of Items within the group by the same amount). |
DEFAULT COST & DEFAULT PRICE
| Item price and cost default to the Item level price and cost if left blank. Enter a default cost or price here to override them for this group (you can adjust these later).
⚠️ Items categorized as Expense cannot be added to Item Groups. See Items Overview and Item Categories for more on Item level settings. |
6. When you have finished adding all the Items in the group, select Update Item Group
