Introduction
To track transports executed by third-party partners, carriers must join your Visibility Network. This is achieved through a simple invitation process where the carrier grants consent for you to access their data. Whether your carrier partners are already active on the platform or entirely new to Transporeon, the onboarding process is designed to be seamless.
While partnering with external fleets is a standard operational reality, maintaining high visibility standards for these transports is critical for customer satisfaction. Transporeon enables you to track these external movements so they appear as part of your own fleet to your customers, ensuring a consistent and reliable service.

Option 1: Inviting a Single Carrier (Email/Link)
Click + Invite carrier in the upper right corner of the Carrier Network tab.
In the Email/Link tab, enter the Company name, Contact person emails, your internal Relation identifiers (mandatory), and select Language for the email.
Choose your invitation method:
After sending email or creating the link, the carrier moves to the Invited status.
Option 2: Using the "Import from Excel" Feature
You are not required to invite your entire carrier base at once or manage invitations individually. Use the Import from Excel feature to upload your carrier lists in bulk, then distribute invitations in "waves" based on your operational priorities—such as starting with your high-volume partners first.
Click + Invite carrier and select the Import from Excel tab.
Download the template: Use our standardized format to ensure accurate data.
Upload your file: After upload, a dedicated Group is automatically created for all carriers in your list.
Invite later: This is the only method that lets you add carriers without sending an invitation right away. Carriers appear in your network with the "Not invited" status.
💡 Pro Tip: You can update your list at any time by re-uploading a file. The system only adds missing partners—it will not create duplicates for carriers already in your network
Managing Bulk Invitations
Once your carriers are in the list, you can trigger invitations in bulk.
Select Rows: Check the boxes next to the carriers you want to invite (or select all)
Click "Send Invite": You can send initial invites to "Not Invited" carriers and resend invites to "Invited" carriers at the same time.
The system uses the same standard invitation email for all recipients.
Set CC Preferences: Choose whether to be CC'd on each email generated by the bulk action.
Validation: If any selected carriers have missing or invalid data, the system will tell you how many invites can be sent. Use the Filter tool to isolate and correct these errors.
Account-Level Management
Carriers are managed at the Account Level, not within individual groups or by specific users.
Global Updates: Changes to a carrier’s details (name, language, or identifiers) are reflected across all groups they belong to.
History & Last Status: The Last status update column shows the date of the most recent onboarding change. The Invite history in the side panel provides a complete audit trail.
Invite Links: After a carrier has been invited, the unique invite link is available from the side panel until the carrier accepts the invite. You can copy and share it as long as the carrier has not yet accepted the invite.
Frequently Asked Questions (FAQ)
Can I add a single carrier to my list now but invite them later?
Yes, but only by using the Import from Excel feature. The "Email/Link" tab is designed for immediate invitations. To stage a carrier in your list without notifying them, include them in an Excel upload.
What happens if I upload the same carrier twice in an Excel file?
The system automatically detects existing entries based on the carrier's identifiers. It updates the carrier's details but does not create a duplicate record in your network.
Why are some carriers highlighted as "Invalid Data"?
This usually happens due to a typo in an email address or because a Relation Identifier is already assigned to a different carrier. Use the Filter tool to isolate these carriers and correct the errors in the side panel.
If I invite a carrier from a specific Group, does it update the main list?
Yes. Carriers are managed at the Account Level. Whether you invite them from the main list or a specific "Group," their status and history update globally across your account.
Can the invite link be used for different carriers?
No. Each invite link is unique to a specific carrier and can only be used once. Once the first recipient accepts the invite, the link is no longer valid.
Can I change the contact person after an invite has been sent?
Yes. You can edit the contact information in the carrier's side panel at any time, then Resend the invitation to the new email address.
How do I know if a carrier was invited by someone else?
Check the Invite history in the side panel. It shows which user sent the invite, the timestamp, and the recipient's email address.
What if a carrier says they never received the email?
Double-check the email address for typos. You can also use the Generate link option to share a manual URL directly with them.
