GoHighLevel Integration

The SKED and GHL integration enables real-time synchronization of appointment information between both systems. Appointments added in your EHR or SKED will appear in GHL within seconds, and updates such as arrivals, reschedules, and cancellations will sync automatically.

This integration boosts efficiency, minimizes manual data entry, and ensures your scheduling system stays synchronized across platforms. It also eliminates the need for manual arrival reporting and automatically tracks conversion rates. To started, let’s click “Settings” in the bottom left corner and click “Go High Level Integration.”

Logging into GoHighLevel

Let’s begin by clicking the settings gear icon at the top right corner to integrate SKED with GHL, then toggle the switch to enable the integration.

We can then click the “Link GoHighLevel Account,” which will open a pop-up with a “Login” button. Clicking this button will bring us to a GoHighLevel website where we can log in with our credentials.

Once the two platforms are successfully integrated, you will be prompted to refresh the SKED Admin, and then you can begin to add your calendars.

GoHighLevel No Longer Syncing

If you notice that appointments are no longer syncing between SKED and GoHighLevel (GHL), the accounts may have become disconnected.

One common indicator of a disconnection is that your calendar names appear as “Unnamed Calendar.” If this happens, follow the steps above to log back into the account and reconnect it.

If you experience issues while re-logging in, try signing in using a private or Incognito browser window.

If you have completed these steps and the calendar names still do not appear correctly, or appointments are not syncing properly, please contact the SKED Support Team for further assistance.

Adding GoHighLevel Calendars

Now that we’ve logged in, we can add calendars to begin the syncing process. Click the “+Add Calendar” button in the top corner. A pop-up window will appear, and you can use the drop-down menu to select the calendar you want to sync and then click Continue. If you want to sync multiple calendars, you can repeat these steps until all have been selected.

Note: Calendars that are already connected will be greyed out.

Configuring Calendar Sync Settings

Once you’ve chosen a calendar to connect, we’ll configure our outbound and inbound syncing settings. You can choose which appointments you want to sync over to GHL to remove availability from their calendars as well as have appointments sync into SKED so they go into your EHR.

Filter Outbound Appointment Syncing (SKED-GHL)

Most offices prefer to sync only specific appointments to GHL. If every adjustment were synced, it could quickly fill up the calendar, leaving no availability for new leads to book. Typically, offices choose to sync appointments, which affects the doctor’s availability for the appointments GHL manages. However, there are multiple ways to control which appointments sync. You can customize this using the drop-down menu.

In this section, we’ll walk through all the options so you can select the best setup for your office.

“Specific Appointment Types”

The first option allows you to manually select which appointment types to sync. For example, an office may choose to sync New Patient appointments, Report of Findings, and possibly Re-exam codes if those time slots are now unavailable for the doctor to complete the appointment being booked in GHL.

“Specific Patient Portals” or “All Patient Portals”

Some offices have a New Patient Portal set up that contains all the appointment types that would take away the doctors availability or has multiple portals that collectively have all the appointment types that take away availability. To choose one or multiple (but not all), choose “Specific Patient Portals” and choose which portals appointments you want to sync over.

If all your portals are New Patient Portals that remove the appropriate availability, you can select “All Patient Portals.”

Tip: For offices/agencies using the New Patient Portal to create appointments in GHL, they can use the “Referrer” field to add specific tags onto the contact in GHL that can be used for filters, triggers and/or automation.

Note: It’s important to note that only appointments made through these portals will sync, so if the office makes a New Patient appointment in their EHR or SKED Admin, it will not sync to GHL.

“All Appointments”

Offices have the option of syncing all appointments created. This could be really helpful for single-doctor offices, where if they have an appointment with any appointment type and it takes away the doctor's availability, they can have them all sync over.

“No Appointments”

If your office does not want any appointments to sync into GHL and only wants appointments to sync into your EHR, you can choose this option.

Two-Way Appointment Mapping

Since GHL level uses Appointment Titles and SKED/EHRs use Appointment Types, you can use this section to easily map how appointments will show when synced between the two platforms.

Add Appointments (Values) to Map

To begin mapping the appointments, click “+Add another value” then you can type or copy/paste (this is recommended) the appointment title in the first editable field. Use the drop-down menu to choose which appointment type you want that appointment to show as when it syncs to SKED and your EHR.

Continue these steps until all appointment titles have been mapped to appropriate appointment types.

Choosing a Default Fallback

If, for any reason, there is an appointment title that is not mapped to a specific appointment type, you can choose for it to default to one of your appoinment types. It may be helpful to have them default to your New Patient Code or you could even make one specifically for this like “GHL Appointment” so it’s easy to notice and can be updated appropriately.

Sync All Future Appts

After configuring the appointment syncing settings, click “Sync All Future Appts” to push all scheduled appointments that match the selected criteria for outbound syncing into GHL.

Save Calendar

Once all settings have been configured, click “Save” in the top right corner to start integrating that calendar.

Discontinue Syncing a Calendar

If your office wishes to discontinue syncing a specific calendar, click on the title of calendar once you’ve navigated to the Go High Level Integration page and then click “Disconnect.”

Tip: Below the message editor box, a preview of the message as it will appear to the client is displayed.

Disable GoHighLevel Integration

If your office would like to disable the integration for any reason, you can click the settings gear icon in the top right corner of the main page, toggle off the integration, and click “Save.”

FAQs

Why did GHL reject an appointment from SKED?

Appointments can be rejected in GHL (GoHighLevel) for several reasons. Here are the most common ones:

  1. Another Appointment is Already Scheduled
    The calendar is already booked at that time, and your settings only allow one (or a limited number) of appointments.

  2. The Calendar Isn't Open at That Time
    The appointment is outside of the available hours set on the calendar.

  3. Too Many Appointments in a Time Frame
    There are already more appointments scheduled than what’s allowed in a given period.

  4. Appointments Can’t Overlap
    If two appointments overlap and start at different times, the new one will be rejected.

  5. Invalid Start Time
    The appointment is scheduled at a time GHL doesn't accept. For example, if the calendar only allows appointments at 3:00 or 3:30, one set for 3:15 will be rejected.
