Spark Reporting

Introduction

Spark Reporting gives your office a clear view of how Spark is performing — showing you every appointment that Spark directly influenced, broken out by New Patients, Retention, and Reactivations. You can filter by month, appointment type, provider, or specific client to zero in on exactly what you need.

To find this page, open the blue navigation bar on the left, select Spark, then click Reporting.

Understanding the Report Tabs

At the top of the page, you'll see three tabs that control which group of Spark-attributed appointments is displayed. The page defaults to the Reactivations tab.

Patients who booked their first appointment through the Spark AI New Patient Portal.

Retention

Retention patients are those who were already under active care but did not have a future appointment scheduled. Spark reached out through its automated retention campaigns, the patient scheduled an appointment, and remained under active care.

Reactivations

Patients who had not visited your office for 6 months to 3 years and returned as a direct result of Spark outreach.

Note Only appointment types that have been enabled for Spark will appear in this report. If you expect to see a provider's appointments and they are missing, check that their appointment types are turned on for Spark. Reach out to support if you need help enabling specific appointment types.

Reading the Report Table

Each row in the table represents a single Spark-attributed appointment. The table includes the following columns:

Column

Description

Client

The patient's name. Click their name to open a quick client profile popup.

Appt Date

The date and time of the appointment.

Appt Type

The appointment type as it's named internally in your SKED settings.

Professional

The provider who saw the patient at that appointment.

Arrival Time

The date and time the patient was marked as arrived for that visit.

Actions

Admin users will see a delete (trash) icon here to remove an appointment from the report if needed.

Tip Click any client's name to open their client profile popup without leaving the Spark Reporting page.

Filtering the Report

The toolbar at the top of the page gives you several ways to narrow the results. All filters work together — you can combine them freely.

Filter by Month

Click the date button (showing the current month, e.g. Jul 2026) to open a month picker and select the month you want to view. The report will reload to show only appointments from that month.

Filter by Appointment Type

Click Appt. Types to filter results to one or more specific appointment types. This is useful if you want to see Spark performance for a particular visit type only.

Filter by Professional

Click Professional to filter by one or more providers. Use this to see how Spark is performing for a specific doctor or staff member.

Filter by Client

Click Clients to search for and filter by a specific patient. Use this to look up whether a particular client shows in the Spark report for the selected month.

Reset All Filters

Click the Reset Filters button in the top-right corner of the toolbar to clear all active filters and return to the full report for the current month.

Removing an Appointment from the Report

If an appointment is showing in Spark Reporting that shouldn't be there — for example, a patient who was never actually seen — an admin user can remove it.

  1. Locate the appointment row in the table.

  2. Click the trash icon in the Actions column for that row.

  3. The appointment will be removed from the report immediately.

Warning: The delete action is immediate and cannot be undone from the UI. Only remove an appointment if you are certain it should not be counted in Spark Reporting. If you are unsure, contact support before removing.

Note: The delete icon in the Actions column is only visible to admin users.

FAQs

Why are some of my providers' appointments not showing in the report?

Only appointment types that have been enabled for Spark will appear in the report. If a provider's visits are missing, their appointment codes may not be enabled for Spark tracking. Contact support to review and enable the appropriate appointment types.

What counts as a Reactivation?

A Reactivation is a patient who had not visited your office for anywhere from 6 months to 3 years and returned as a direct result of Spark outreach. These patients are tracked separately from Retention patients who remained consistently under care.

What is the difference between Retention and Reactivation?

Retention patients are those who were already under active care and scheduled a future appointment because of Spark's automated messaging — they never lapsed. Reactivation patients are those who had gone inactive (6 months to 3 years without a visit) and came back specifically because of Spark outreach.

Can I see the report for a previous month?

Yes. Click the date button in the top filter bar to open the month picker and select any previous month. The report will update to show Spark-attributed appointments from that time period.

Why is there a patient in my report who was never actually treated?

This can happen in some cases where an appointment is logged against the Spark list but the patient did not receive care. If you identify an appointment that shouldn't be counted, an admin user can remove it using the trash icon in the Actions column. If you are seeing this frequently, contact support so the team can investigate the root cause.

Can I export or print the Spark Report?

The Spark Reporting page does not currently include a built-in export button. If you need a copy of the report, your Spark account manager can pull and send you a monthly report summary. You can also request a report directly through support.

Does this report affect my Spark billing?

Yes — Reactivations shown in Spark Reporting are what drive your per-reactivation charges. If you believe a patient in the Reactivations tab was counted in error, contact support promptly so it can be reviewed before your billing cycle closes.
