Configure Call Forwarding

Understand how to set up call forwarding for your AI assistant.

Introduction

For Alina to answer your office’s calls, your existing office phone number must be forwarded to Alina’s dedicated phone number via a blind transfer. This setup is completed through your phone carrier or VoIP provider, not within SKED. This article explains how call forwarding works, how to set it up, and how to prevent calls from being transferred in a loop.


How Call Forwarding Works

Alina is assigned a dedicated phone number in SKED. Your office does not need to replace its current phone number. Patients can continue calling the same number they already use, and those calls will be blind transferred to Alina once you've set it up with the phone carrier.

When Alina cannot assist a caller or the caller asks to speak with a staff member, Alina transfers the call to the Transfer Phone Number saved in SKED. This number must be set up correctly to prevent the caller from being routed back to Alina.

Set Up Call Forwarding

Contact your phone carrier or VoIP provider and ask them to forward calls from your general office line to your Alina phone number.

The forwarding should be set up as a blind transfer so Alina can see the caller’s phone number.

You can find your Alina phone number in SKED by going to:

Settings > Tools > AI Scheduling Assistant > General

The setup process will vary depending on your phone carrier or VoIP provider. Once it is complete, calls made to your office number should be forwarded to Alina.

Avoid a Call Loop

When Alina transfers a caller to your office, she uses the Transfer Phone Number entered in SKED.

If this number is the same office number that is being forwarded to Alina, the call will be sent back to Alina instead of reaching a staff member. This creates a call loop.

To prevent this, use one of the following options.

Use a Direct Phone Number

Enter a separate phone number that connects directly to your office and is not included in the forwarding rule.

This allows Alina to transfer callers directly to a staff member without sending the call back through the general office line.

Use Your Office Number with an Extension

Enter your office phone number with a specific extension that connects directly to a staff member or department.

Extensions may bypass the forwarding rule, depending on how your phone system is configured. The extension must be active and set up through your phone carrier or VoIP provider.

The direct phone number or extension is entered in the Transfer Phone Number field on the General tab in SKED. Any phone numbers, extensions, or forwarding rules must be configured through your phone carrier or VoIP provider.
