Overview
The Data Importer lets you add leads to SKED in bulk by uploading a spreadsheet, so you don’t have to enter them one at a time. Use it when you have a list of leads from a marketing campaign, a trade show, a website export, or another tool. It works for every office, including offices with an integrated EHR.
You can upload a CSV file, upload an Excel (.xlsx) file, or copy and paste directly from a spreadsheet. Your file doesn’t need to be formatted a certain way. The importer reads whatever you give it and cleans it up during the import.
Accessing the Data Importer
Click Settings in the bottom left corner.
Under Tools, select Import Data.
What You Can Import
The importer maps four pieces of lead information:
Name: either a Full Name column or separate First Name and Last Name columns
Phone number
Email
Date of birth
You don’t need all four. Each lead must have:
A name (full name, or first and last name), and
Either a phone number or an email
Any other columns in your file, such as address or notes, can be skipped during mapping.
Step-by-Step: Import Your Leads
1. Upload your file
Drag and drop your file into the upload area, or click to choose a file from your computer.
To paste instead, click Paste from Spreadsheet and paste your copied data into the window.
Supported formats: CSV, XLSX, or copy and paste. If your file is an older format such as XLS, save it as CSV or XLSX first, or use paste.
2. Confirm your import settings
Choose Leads as the data type to upload. Confirm that your file includes headers (for example, First Name, Last Name, Email), then choose whether to preview your data before importing. Previewing is recommended. Click Import Data to continue.
If your file matches one you’ve imported before, SKED recognizes it and offers your saved template. You can Review & Apply it or use Instant Upload.
3. Map your fields
Every column in your file needs to be mapped or skipped.
Map a column to the matching SKED field (Name, Phone, Email, or Date of Birth).
Skip any column you don’t want to import.
If your names are in one column, select Full Name and choose the format (First Last or Last, First).
If something is mapped to the wrong field, click Unassign and remap it.
A counter at the top shows how many columns still need attention. Click it to jump to each one. The Next button turns on once every column is mapped or skipped.
4. Set bulk assignments
These apply to every lead in your file:
Default appointment type (required): choose the appointment type to assign to your leads.
Tags (optional): add a tag to everything in this import, which makes the group easy to find later.
SMS and email notification preferences (optional): choose whether these leads can receive text and email messages.
All records are imported as leads.
5. Save a template (optional)
At the bottom of the page you can:
Enter a name to save a new template
Update an existing template
Continue without a template
Templates save your mapping, which saves time if you upload files with the same columns again.
Click Finish in the top right to start analyzing your data.
6. Review and fix issues
SKED automatically cleans up common problems such as phone number formatting and missing headers. If anything still needs your attention, you’ll land on the Fix Broken Uploads page, where you can correct records directly in SKED. You don’t have to edit your spreadsheet and start over. When you’re done, click Submit, or skip any rows you don’t want to import.
7. Check duplicates and confirm
Before anything is imported, you’ll see a preview of:
Records to be created
Records to be updated
Records to be skipped
SKED flags duplicate leads so you can decide how to handle them. To save a copy of the preview, click the download icon. When everything looks right, click Confirm Import.
The import runs in the background. You can leave the page and you’ll get an email when it’s finished.
After the Import
Go back to Import Data to see Import History. Each import shows how many records were created, updated, skipped, or failed. If you start an import but don’t finish, it’s saved as a draft in Import History. Click the pencil icon to pick up where you left off.
Undoing an Import
If a mistake happens, contact SKED Support and we can undo the import. Undo works within 30 days of the import, as long as the imported records haven’t been edited.
Tips
Include a header row in your file (First Name, Email, and so on).
Make sure every lead has a name plus a phone or email, or the row will be flagged.
Use the preview step before confirming.
Add a tag to each import so you can find those leads later.
Save a template if you’ll upload the same type of file again.
