Upload New Data

Overview

The data importer allows you to upload and manage contacts (clients or leads) and appointments by uploading spreadsheet data. Use this workflow to efficiently add data in bulk from CSV or Excel files, or by pasting directly from your spreadsheet tool. This feature is specific to our Standalone product.

Accessing the Data Importer

  1. Open on Settings in the bottom left corner of the admin.

  2. Under the Tools section, select Import Data.

Uploading Your Data

You can upload your data using a file or by pasting directly from a spreadsheet, depending on your preference.

  1. Click Upload a file to select a CSV or XLSX file, or drag and drop your file into the upload area.

  2. If your file is in an older format (such as XLS), convert it or use Paste from Spreadsheet.

To paste data:

  1. Click Paste from Spreadsheet

  2. Paste your copied data into the window

Note: For this example, the workflow proceeds with uploading a `.csv` file:

Using Templates and Initial Import Options

For first-time imports, use the default Import Data option

Using a Template: The Data Importer is designed to be intelligent; it will automatically recognize when your file matches a previously used format and apply the corresponding template. You can then choose to Review & Apply or proceed with an Instant Upload.

Selecting the Data Type

Choose the appropriate data type:

  • Contacts (clients or leads)

  • Appointments

  • Contacts & Appointments

Tip: For initial imports, import contacts before appointments to ensure correct linking.

Confirming Import Settings

  1. Confirm that your file includes headers (e.g., First Name, Last Name)

  2. Choose whether to preview your data before importing (recommended)

  3. Click Import Data/Review & Apply/Instant Upload to continue

Mapping Fields

Mapping Your Data The next article and video will go over mapping in detail, but ultimately every column in the spreadsheet gets mapped or skipped. There a tracker to know which ones still need attention. Once you're done, the "Next" button will be clickable.

  • Skip any columns you do not wish to import.

  • Track required fields completion:

Bulk Assignments

After mapping, assign any required values not included in your file:

  • Client or lead designation

  • Default appointment type

  • Provider assignment

  • SMS notification preference

  • Optional referrer

  • Optional tag

If multiple providers exist, select the appropriate provider as needed.

Templates

At the bottom of the page, you can choose to save your configuration as a template by entering a name, update an existing template by selecting it, or continue without using a template.

Click Finish in the top right corner to begin analyzing your data.

Import Preview and Confirmation

  1. Finalizing the Import

    1. Review the import preview, including:

      • Records to be created

      • Records to be updated

      • Records to be skipped

    2. Download a preview if needed by clicking the download icon

    3. Click Confirm Import to complete the process

    The import will run in the background. You can safely navigate away, and you will receive an email notification once the import is complete.

  2. After completion, a summary will be available. You can return to the main Imports page at any time to review your results.
