Importing your Caseload

If you have a .csv file spreadsheet of the students on your caseload, then you can get your caseload added into your account in just a matter of minutes!

First, you’ll need your caseload information in a CSV spreadsheet file. There are 3 different ways to do this:

  1. The easiest way is to download your caseload information from your online IEP system.

  2. Not an option? Try copying and pasting your caseload list from your online system into your preferred spreadsheet (e.g. Excel, Google Sheets, Numbers).

  3. OR create your own spreadsheet with your student information. You can use this example CSV file to get started!

Google Sheets

Select File > Download > Comma Separated Values (.csv)

Excel

Select File > Save as > CSV

Numbers

Select File > Export to > CSV

During the caseload import process, you can also upload student goals and objectives using a single CSV file! This saves time during setup, especially if you are new to SLP Toolkit or adding new students at the start of the school year.

Tips for formatting your CSV file

To help your import go smoothly:

  1. Format dates as MM/DD/YYYY.

  2. Use only one header row with column names.

  3. Place each goal and objective in its own column.

  4. Use goal/objective names like Goal 1, Objective 1.1, Objective 1.2, etc.

  5. New users can upload their full caseload.

  6. Returning users should upload only newly added students to avoid duplicates.

Your CSV file can include special characters like commas, quotation marks, and line breaks as long as they are formatted correctly for a CSV file. For example, text with commas should be enclosed in quotes.


Important note for returning users

The caseload import is designed for adding new students only. It is not intended to update goals for students who are already in your caseload.

To avoid creating duplicate student records, returning users should only include newly added students in the import file.


Getting Started

Once you have that magical csv file ready, watch this video tutorial or scroll down for step-by-step directions!

To import your caseload, follow these steps:

1) On the Caseload page click Actions then Import Caseload.

2) Choose your CSV file to begin the import process.

3) Determine if the first row contains student information or headers - then click the corresponding button on the screen.

4) Match your column headers with the corresponding SLP Toolkit Data Fields, or select 'Don't Import' for columns you don't want to include. Then select 'Import' at the bottom.

Please note: First Name, Last Name, and IEP Due Date are required.

5) Your caseload file will then be uploaded into SLP Toolkit! You can view this info in the 'Caseload' tab.


Caseload Import Troubleshooting Tips:

If you received an error message when trying to import your CSV file, please watch this video and review the steps below:

  1. Ensure that your file is either in CSV or Excel (xls, xlsx and xlsb) format

  2. Double-check that the file you wish to import has the following fields: 'First Name' and 'Last Name'

  3. Make sure that any dates within your file (i.e. Birthdates, Eval Due Dates) are formatted as 'MM/DD/YYYY'.

  4. Ensure that your columns are matched to the correct headers available within SLP Toolkit.

Pro-tip: The caseload screen automatically defaults to the headers below, but you can customize which fields are shown by clicking on the Preferences drop down menu and selecting Customize Caseload Fields. Deselect any fields you would like to hide and save your changes.
