How Does the Yardi Integration Change My Daily Workflows?

The Yardi integration will change your daily workflows in the following ways:

Leasing (Automatic Move-In/Move-Out):

  • Automatically trigger move-in for residents when:

    • Status = Current

    • Resident OccupantType = Adult

    • Move-In action is clicked in Yardi

    • Move-In date = today, when the sync happens in SmartRent

  • Residents must not be tied to another lease

  • If the resident is not the primary lease signer, they need a Roommate or Spouse specified in the Relationship field; if the relationship field is Guarantor, do not move-in

  • In Yardi, if the primary resident moves out and roommate stays, the function to Promote Roommate would be used to adjust the roommate to the primary resident

  • When there is a Yardi Automatic Move-In/Move-Out exception, ensure site teams receive the applicable Move-In & Move-Out Exceptions email

  • Automatically trigger move out for residents when:

    • Status = Past and Move-Out date = Today, or past when the sync happens in SmartRent

    • If an occupant status has a Move-Out date or Status = Past, the occupant should get moved-out, but the primary resident should still be current

    • The primary resident moves out and the roommate stays, the Promote Roommate function would be used to promote the roommate to the primary resident

    • Roommate and resident names change, but the code should stay the same

Leasing (Move-In/Move-Out):

  • Resident Move-In: The move-in workflow in SmartRent automatically generates an access code to a unit’s door lock and creates an account in our Resident Mobile App based on the move-in event in RealPage (but it can also be done manually by the leasing team)

  • Resident Move-Out: The move-out workflow in SmartRent automatically removes all resident access and sets units into Vacant mode based on move-out events in RealPage (but this can also be done manually by the maintenance team)

  • Resident Transfer: Transfers will occur in SmartRent if the correct triggers are sent from RentEGI

    • During the sync, SmartRent will receive the move-in and move-out date of the resident and the resident will be given a new Resident Member ID

  • Promote or Swap - SmartRent does not support promoting or swapping for roommates

Resident Support:

  • Resend Account Invitation: If the resident did not receive the email invitation to create an account for the SmartRent Mobile App, this would be completed on the Resident Profile page

  • Resend Resident Code: If the resident did not receive their access code or lost/forgot their code, this would be completed on the Resident Profile page

  • Send Backup Code: If the resident’s personal access code does not work, this is a last-resort workflow that would be completed on the Resident Profile page

  • Send Reset Password Link: If the resident cannot reset their password, this would be completed on the Resident Profile page

Maintenance:

  • View Work Order Code: For each work order that is synced via the integration or automatically created from a device such as a leak sensor, an access code is automatically generated and viewable directly on the work order detail screen in both SmartRent and SmartRent Manager Mobile

    • Automatic work orders include: leaks, temperature out of range, humidity out of range, battery low, and device offline

  • Assignment of Work Order: You can assign a synced work order out to a specific maintenance technician or vendor, which will send them an SMS text message with the work order details and access code

  • Creating Work Orders: Since access to occupied units is always tied to a work order, any scenario where the site team needs to enter an occupied home outside of synced tickets from Yardi or the automatic tickets created from devices, will require site teams to generate access codes via our maintenance interface

    • Possible scenarios for this include emergency access or a routine inspection

  • Closing Work Orders: If the work order is closed in Yardi, it will be automatically closed within SmartRent the next time the sync runs

    • If the work order was created in SmartRent (whether automatically or manually), it will need to be closed within SmartRent

Manually Sync Data:

Integrations within SmartRent will automatically sync data every hour. However, you can manually force a sync at any time by following the steps outlined in our How Do I Sync Data From My Property Management System to SmartRent? article.
