Using the Print button

Learn how to generate context-specific reports using the Print button within the Staff and Codes screens

The Print button provides a quick way to generate reports based on whatever part of the system you are currently viewing. Unlike the Reports menu, which produces system-wide reporting, the Print button outputs information tied directly to the selected employee, list, code or configuration area. This makes it ideal for reviewing staff history, leave, paycode activity and other detailed or targeted information.


Where the Print button appears

The Print button is available in various places within the:

  • Staff screen

  • Codes screen

When you click the Print button, the report output reflects the context you are in at that moment. This may include:

  • A report covering the entire staff list

  • A report for a specific employee you currently have selected

  • A report for the selected tab within an employee record (for example History, Leave or Work pattern)

  • A report for the selected paycode or configuration item within the Codes screen

The Print button always produces a report tied to the screen, list or item you are currently viewing.


How to use the Print button

  1. Navigate to either the Staff screen or Codes screen.

  2. Select the item, list or area you want to report on.

  3. Click Print.

  4. Choose from the list of available report formats.

  5. The selected report will generate immediately.

Reports generated by the Print button are usually delivered instantly as a PDF.


Examples of what you can produce with the Print button

The available reports vary by location, but common examples include:

From the Staff screen

  • Staff listing

  • Specific employee history reports

  • Specific employee leave entitlement or leave valuation reports

  • Pay summaries for a selected employee

  • Tax-year or financial-year certificate reports

From the Codes screen

  • Code history for a selected paycode

  • Listings of all codes within a category


When to use the Print button

Use the Print button when you need:

  • A quick report tied to a specific employee or paycode

  • A targeted history or entitlement document

  • To review or export data without running a full system report

If you need less specific scope or multi-employee reporting, use the Reports menu instead.
