Using the Files screen

Access and download files generated by payroll processes, including bank files, accounting exports and other system-produced outputs.

The Files screen provides access to all files produced by SmoothPay that are intended for external use. These include bank payment files, accounting export files, tax submission files and various background-generated outputs created during payroll processing or reporting. The Files screen acts as a central location where you can download any files generated by the system.


Accessing the Files screen

The Files screen can be found on the blue navigation bar.


What the Files screen is used for

You can use the Files screen to download:

  • Bank files created during the pay process

  • Accounting export files generated when costing or journals are produced

  • Tax authority upload files (jurisdiction dependent)

  • Other background files produced automatically by certain reports or system processes

These files are preserved exactly as they were when originally generated.


How to find and download files

Locating files

You can:

  • Scroll through the list, or

  • Use the search bar to find files by name or date

Each file entry shows:

  • The file name

  • File type (e.g. TXT, CSV, XLSX, PDF)

  • The date it was produced

Actions available

Download

Click Download to save the file to your computer.
Files download in their original form for accurate record-keeping.

View log

Some files offer a View log option, allowing you to download internal system logs used for troubleshooting.


When files appear

Files automatically appear in the Files screen when you:

  • Complete a pay process (bank files generated here)

  • Generate accounting journals

  • Run specific reports that output files

  • Use functions that produce agency upload files or other exports


File retention

SmoothPay retains files for easy re-access.
Files remain available indefinitely unless manually deleted.

This lets you:

  • Retrieve previous accounting exports

  • Compare historical output

  • Re-submit tax or agency files if needed


Common file types you may see

Examples include:

  • Bank payment file

  • glcosting.txt (or equivalent accounting export)

  • Tax submission files for IRD, ATO, IRC, RMD, etc.

  • Annual upload files (e.g. RMDWageUpload.xlsx in Cook Islands)

  • Other exported output produced by payroll tools or reports
