How to Manage Custom Fields for Ambassador Profiles

A step-by-step guide to customize and organize profile fields for ambassadors.

Introduction

  • Purpose: This article explains how you, as a portal admin, can create, customize, and manage custom fields on ambassadors profile.

  • Context: The Custom Fields allow you to control which fields appear on ambassador profiles, set permissions for viewing and editing, and organize the information display based on your program's needs.

What Are Custom Fields?

Custom fields help you tailor the ambassador profile to suit your program.

  • SL Admin Portal: Add new fields to the Ambassador Profile on SL Admin Portal to collect relevant ambassador information.


  • Ambassador Dashboard: Make Custom Fields visible to Ambassador on the Ambassador Dashboard Settings Page.


How to Create Custom Fields

  1. Go to Settings Account Settings Custom Fields.

    Here, you can manage all existing fields or add new ones.

  2. Click +Add Field.


  3. On the new popup window, provide the following details:

    1. Field Name: Internal reference name (not visible to ambassadors).

    2. Display Name: The name that ambassadors will see.

    3. Description: A short explanation of the field’s purpose.


  4. On the Field Type, decide how ambassadors will interact with the field:

    1. Free Form: Ambassadors can type freely.

    2. List: Ambassadors choose from a dropdown menu of predefined options.

    3. Tag: Allows ambassadors to select tag that you define.

      1. Note: You must create the tag beforehand. Read more: How to Create Tags

  5. At last, configure how the field appears on ambassador profiles:
    ​​

    • Visible to User: Ambassadors will see this field on Settings on Ambassador Profile.

    • Editable by User: Ambassadors can edit this field directly on Settings.
      ​​

    • Show on Fulfillment: The field will appear in fulfillment-related data.

  6. Adjust the Display Order

    Use the position number to set the field's display order on the Ambassador Profile.

  7. Click on Add to create the field.

How to Manage Custom Fields

  • Edit a Field: Click on the field you wish to edit, update the details, and save changes.

  • Reorder Fields: Use the "= icon" to drag and rearrange fields as needed (see screenshot below). 

    • Note: This will update the order display on the Ambassador Dashboard Settings Page.

  • Delete a Field: Click the trash icon to remove the field permanently.

    • Note: Deleting a field cannot be undone.

Best Practices

  • Use clear and descriptive names to ensure ambassadors understand each field.

  • Avoid adding unnecessary fields to maintain a clean and simple profile layout.

  • Regularly review and update fields to keep information accurate and relevant.
