What is Processing Fee Handling?

Processing Fee Handling is a setting in the Trip Builder that empowers the organizer to choose if they want to pay the processing fee for travelers or if they prefer to pass it on to the traveler. Travelers are selected to pay the processing fee by default.

💡Pro Tip: We often hear that travelers don't like seeing the processing fee at checkout, so we recommend "All fees are paid by the organizer" setting.

What happens when I select Organizer Pays?

When "All fees are paid by the organizer" is selected:

  • The traveler will no longer see any mention of processing fees at checkout or in their emails.

  • The Pricing Calculator will be activated within the trip builder to help you price the trip, add-ons, deposits, and payment plan charge with the processing fee in mind.

  • The processing fee will be deducted from the total amount the traveler pays to you.

How does the Pricing Calculator work?

When the organizer pays the processing fee, the calculator will be activated for the following fields:

  • Trip Package Cost

  • Add-Ons

  • Minimum Deposit

  • Payment Plan Activation Fee

The organizer will see two fields:

  • Traveler Pays is the total cost that the traveler will see at check out. They will not see any processing fees added on to the amount.

  • You Receive is the total amount that the organizer will receive after the traveler has paid.

The calculator works both ways. If you enter a number in Traveler Pays, You Receive will automatically be calculated less the processing fee. If you enter a number in You Receive then the Traveler Pays will automatically calculate the price adjusted for processing fees.

💡Pro Tip: Enter an amount under You Receive to ensure you're collecting the expected amount.

What happens when I select Traveler Pays?

If the traveler is paying the processing fee, then they will see an additional Processing Fee line item at checkout and in their emails. The Processing Fee will be applied to their total order.

The price the organizer sets in the Trip Builder is the amount the organizer will receive so no Pricing Calculator is needed.

Frequently Asked Questions

What if I change my mind and want to switch who pays the transaction fee after I've already received bookings?

Travelers who booked before you've made the switch will not be affected.

If the Organizer switches from Traveler Pays to Organizer Pays:

  • The price of the trip packages will be adjusted to ensure the organizer receives the total package price before fees.

  • Travelers who've already booked will experience no change in price or processing fee handling.

  • New travelers who book will see adjusted pricing and no longer see the processing fee.

If the Organizer switches from Organizer Pays to Traveler Pays:

  • The price of the trip packages will be adjusted to exclude fees.

  • Travelers who've already booked will experience no change in price or processing fee handling.

  • New travelers who book will see adjusted pricing and a processing fee line item at checkout.
