Document Conditions

You can use Conditions to modify how or which elements are shown, flag a response, or trigger additional actions based on the responses to Questions in the Document.

There are two types of Conditions available: Standard Conditions and Flagged Conditions.

Standard Condition

Standard Conditions allow you to modify how other elements are shown in the Document based on how a Question is answered. You can:

  • Hide or Show a Question, Section, Group, or Composite Question Collapse

  • Expand or Collapse a Section, Group, or Composite Question

  • Grey-out or Disable the grey-out of a Question, Section, Group, or Composite Question

Flagged Condition

Flagged Conditions enable you to prompt users to do something after a Document is completed. While the flag cannot force the user to complete the action, you can pair a Flagged Condition with a Document-based Action Trigger to create a Workflow Task to help manage task completion.

You can add Conditions to most Question types with the exception of Text, Comment, Data Field, and Data List.

Conditions can include one or more criteria, and you can choose to apply the condition when any criteria are met or when all criteria are met. The criteria itself can be no response (i.e. when the question is not answered) or a specific response. After configuring the Condition, you can set up the Applied Elements (i.e. the action you want to take when the criteria is met).

Adding Conditions

Add a Standard Condition

Step 1: Create the Standard Condition

  1. Locate the question that you want to add a condition to and click Show Detail.

  2. Click Add Condition.

  3. Type a Name for the condition.

  4. In the Rule section, choose whether Any or All criteria must be met.

  5. Select whether the Answer must be No Response or a Specific Response.

  6. If you selected the Specific response option, complete the following actions in the Response section:

    1. From the Operator drop-down list, select whether you want the Answer to Equal or Not Equal a Response value.

    2. From the Response drop-down list, choose the Response.

  7. Click Save.

Step 2: (Optional) Create additional Criteria

If you have more than one criterion for your Condition, complete the following steps:

  1. On the Condition page, in the Criteria section, click Add.

  2. Select whether the Answer must be No Response or a Specific Response.

  3. If you selected the Specific response option, complete the following actions in the Response section:

    1. From the Operator drop-down list, select whether you want the Answer to Equal or Not Equal a Response value.

    2. From the Response drop-down list, choose the Response.

  4. Click Save.

  5. Repeat steps 1-4 as necessary.

Step 3: Select the Applied Elements

In this step, you’ll determine which Elements in your Document you want to modify based on the response to the Question you created a Condition for.

  1. On the Condition page, in the Applied Elements section, click Add.

  2. In the Action section, select the type of action to take.

  3. In the Apply on section, select which Element you want to affect.

  4. Click Save.

  5. Repeat steps 1-4 to modify additional Elements.

Add a Flagged Condition

Flagged Conditions enable you to prompt users to do something after a Document is completed. You can also create Document-based Action Triggers based on flagged questions to initiate additional processes.

Step 1: Create the Flagged Condition

  1. Locate the question that you want to add a condition to.

  2. Next to the question, click Show Detail.

  3. Click Add Condition.

  4. In the Name field, type a name for the condition.

  5. Click the Flag option.

  6. In the Rule section, select a criteria option.

  7. In the Flag Condition section, complete the following options:

    1. In the Note field, type the text you want to appear when the Flag is evaluated to true..

    2. In the When evaluated to true section, select whether you want to Show or Hide the Flag Note.

  8. Select whether the Answer must be No Response or a Specific Response.

  9. If you selected the Specific response option, complete the following actions in the Response section:

    1. From the Operator drop-down list, select whether you want the Answer to Equal or Not Equal a Response value.

    2. From the Response drop-down list, choose the Response.

  10. Click Save.

Step 2: (Optional) Create additional Criteria

  1. In the Criteria section, click Add.

  2. In the Criterion section, in the Answer section, select a response type.

  3. If you selected the Specific response option, complete the following actions:

    1. From the Operator drop-down list, select an operator.

    2. From the Response drop-down list, select a response.

  4. Click Save.

  5. Repeat steps 1-4 as necessary.

Modifying Conditions

Modify the operator or response in a Condition’s Criteria

To remove a Condition from a Question, your Document status must be In Progress.

  1. Locate the Question whose Condition you want to modify and click Show Detail.

  2. Click the name of the Condition.

  3. In the Criteria section, click the criterion whose operator (equals or not equals) or response you want to modify.

  4. Change the Operator and/or Response values as needed.

  5. Click Save.

Remove a Condition

To remove a Condition from a Question, your Document status must be In Progress.

  1. Locate the Question whose Condition you want to remove and click Show Detail.

  2. Next to the name of the Condition, click the click the minus icon.

  3. Click Okay to confirm your action.

Remove a Condition’s Criterion or Applied Element

To remove a Condition’s Criteria or Applied Elements, your Document status must be In Progress.

  1. Locate the question whose condition criterion or applied element you want to remove and click Show Detail.

  2. Click the name of the Condition.

  3. In the Criteria or Applied Element section, next to the name of the criterion or element, click the click the minus icon.

  4. Click Okay to confirm your action.

Note: It is currently expected that conditions do not function in client facing previews, so in order to test these, the document would need to be sent.
