This SOP defines the steps for manual user validation (KYC) at CopeCart and applies to all employees responsible for activating user accounts.
Purpose of the KYC Process (Know Your Customer)
The KYC process is designed to verify the identity of vendors, prevent fraud, and ensure compliance with all legal and regulatory requirements. It helps businesses minimize potential risks and ensure transparent business relationships.
The annual KYC validation renewal is an important measure to guarantee the security of an account and its transactions.
For users from Spain, we offer two VAT regulation options:
Small business
Subject to sales tax
Which documents are required for the successful validation of Spanish users:
ID card / Passport / Driver’s license / Residence permit
NIF document (Tax Identification Number)

User Verification Process: Essential Points
Ensure that the ID appears authentic and that watermarks and holograms are visible.
Compare the person on the ID with the user’s selfie.
Check that the ID data matches the information provided in the CopeCart account.
Ensure that the user is at least 18 years old.
Verify the address details using the company registration certificate and compare them with the data in the CopeCart account. The company address may differ from the address on the ID. It is important that the company address matches the address in the CopeCart account.
Check that the financial document appears authentic and that the name and address match the ID.
Compare the tax number with the data provided in the CopeCart account.
When checking the document confirming the bank account number (IBAN), verify that both the name and IBAN exactly match the data entered in the CopeCart account.
IMPORTANT:
NIE (Número de Identificación de Extranjero)
The NIE is the tax identification number for foreigners in Spain. It is required when a person who is not a Spanish citizen is subject to taxation in Spain or carries out economic activities there. The NIE is generally used by foreign residents, freelancers, or entrepreneurs who live or work in Spain but are not Spanish citizens.Vendors may also send certain documents via email or provide additional information through email communication.
