Creating Rules Meetings

How to create rules meetings in the Forms area for associations

  1. Navigate to the Forms area of the system.

2. In the top right of the scree click “Add Standard Form”.

3. Choose the recipients who will have access to complete the form:

  • Schools- At the school level in the association area

  • Officials- In officials accounts area

  • Coaches- Gives coaches the ability to fill out a form

  • Media- In the media accounts area


4. Choose “Rules Meeting” as form type, and give the form a specific name.

5. Choose the school year this form will apply to. NOTE: If opening up in the summer, more than likely you will want the form to apply to the following school year.

6. Position- Adjusts the ordering that the form will show up in the forms list for schools. Leaving at 0 just adds the form to the bottom of the list of forms that have been created for the school or activity.

7. Activity- If the rules meeting is specific to a sport/activity, select it from the dropdown.


8. Choose a start time and date for the form to open. That will allow the form to automatically display for schools/officials and/or coaches at that specified time.

9. Show to coach- Turn this to yes if you want this to display in the activity area the meeting form is designed for to allow coaches to access from the rosters, scores or schedules page. Otherwise the form will just display in the association area for the school.



10. Receipt Emails- if desired you can enter an email address to receive a notice every time the form is filled out.

At this point click save, then continue on with the instructions to complete the new steps that have appeared after saving.

  1. Now that you have saved there should be some more fields that appear. If desired, input a “Deadline for Completion” into the box for the form to close automatically. Otherwise you will have to manually close forms for the year if you wish to close them.

  2. Under Upload Rules Meeting File, click on “Choose File” . Upload the .mp4 or iSpring HTML5 file for the video.

  3. For completion verification for viewers there are two options. Option A requires you to input the length of the video, which will have a verification link pop up at the designated time for viewers to click on to verify completion of the video. Option B requires that you copy the link on the screen into your video prior to upload for viewers to click on to verify completion. NOTE: Option B only works with HTML5.

  4. Add any additional instructions you may want viewers to know.

  5. Change the status to open if you wish to open the form right away, or pending if you want to have the meeting available and open on a specific date. Then click save.
